Our friendly team is looking for an enthusiastic **Office Manager/HR Team Assistant **to join us at our Amsterdam office. This is a temporary position with an initial duration of approximately six months, with the possibility of extension.

As an Office Manager, you'll ensure our Amsterdam office runs smoothly on a day-to-day basis, creating a warm and welcoming environment based on our core values. You’re someone others would describe as a real people-person: empathetic, professional, and helpful. More importantly, you combine these qualities with your talent for organizing and coordinating to get things done. You’re the type who isn’t afraid to roll up your sleeves, be proactive, and start conversations.

**Responsibilities**

**Reception**:

- Phone coverage - answering all direct and forwarding them on to colleagues in
- and outside the office, answering questions whenever possible
- Monitoring the parking spaces for the employees and visitors to all the companies located in our building on other floors.
- Greeting visitors - offering refreshments, answering questions, and contacting the colleague who they are visiting
- Post and packages - handling all incoming and outgoing post, allocating office invoices
- Kitchen - monitoring kitchen and topping up coffee, tea and condiment supplies as necessary

**Office Management**:

- Be the go-to person for all office-related topics;
- Managing office supplies and inventory;
- Initiate and organize activities that help create a positive environment and sense of community at the office;
- Handling regular incoming and outgoing mail and packages;
- Keeping an eye on the general upkeep of the office;
- Support with organizing company events as well as on
- and offsite meetings;
- Collaborate with the HR team to implement and maintain office policies;
- Book hotel rooms for colleagues when visiting our office;
- Prepare arrival new employees - coordinating furniture and fixed telecom supplies and needs for their first day;
- Monitoring cleaning company - contact with cleaning company, handling questions and requests for cleaning of office, annual evaluation of cleaning company;
- Office checks - frequent/multiple daily checks of office for general order and cleanliness
- Other suppliers - maintaining contact with suppliers. Manage them appropriately and make sure they perform well at reasonable costs

**Management Assistance**:

- Arrange all on-site and off-site meetings as needed by executive team, including travel, accommodation, meals, meeting space, audio/video equipment etc.
- Schedule quarterly meetings/calls and other meetings/conference calls as requested
- Calendar management - work with management to keep calendar up to date and proactively plan or adjust meetings as needed.

**Qualifications**:
Required:

- Bachelor degree
- Minimum 2 years of related experience
- Fluent English, and Dutch is a big plus.
- Based in the Amsterdam area (full-time role, 4-5 days in the office).

Preferred:

- Proficient in Microsoft Office Suites
- Ability to organize, plan and prioritize with little direction
- Attention to detail
- (Proven) Strong multi-tasking and time management skills
- Strong collaborator and team player with a high level of discretion & confidentiality
- Self-driven and autonomous
