About this opportunity

We are looking for an Office Coordinator (Dutch speaker) in our Amsterdam office. Our Amsterdam office is at walking distance from Amsterdam Bijlmer Arena station. You will closely work together with the Office Caretaker / Receptionist and report directly to the General Manager Benelux.

Possibility of part-time employment agreement (minimum is 24 hours per week with office days on Monday, Tuesday and Thursday).

In this role you play a vital role in fostering a positive office/team vibe. You are the go-to person for team members seeking guidance on any office / facilities / admin related requests. You manage these requests independently with a true customer focus towards all employees working in the Amsterdam office as well as field-based employees across The Netherlands and Belgium (and potential visitors from across the region as well as external customers).

We are looking for a person who is flexible, enjoys a fast paced, ever-changing business, can manage multiple demands and priorities.

In this role, you will

This function is responsible for different tasks, including but not limited to:

Admin:

  • Managing/overseeing all office management duties.
  • Managing relationships with external vendors, contractors and service providers.
  • Budget Management: Develop and manage the workplace budget, optimizing costs while maintaining quality standards.
  • Onboarding new hires on office / admin related topics (incl. remote based employees).
  • Sending / coordinating out the shipments/ post.
  • Create PR/PO's within financial program SAP and main point of contact towards AP team regarding any related queries from the team (Sales, Marketing, etc.)

Office / Facilities management:

  • Responsible for maintenance agreements and facility services contracts for example cleaning, security, installations, coffee machines, office supplies etc.
  • Having regular meeting with the landlord/ property manager regarding the office building and the outstanding issues.
  • Managing the office lay-out and implement changes when needed.
  • Developing and implementing office policies and procedures to create a safe and inclusive working environment (coordinate Emergency response team, set emergency plan, organize evacuation exercises in collaboration with landlord, follow-up on yearly requirements on having a specific group of employees trained on first aid procedures, actual requirements depend on local legislation and often external training agency is involved for yearly training and certification)
  • Investigating and troubleshooting technical queries with equipment (excluding IT), escalating where needed.

IT support (when Office Caretaker is on leave):

  • IT onboarding incl. setting up desks and basic infrastructure.
  • First trouble shooting on IT related questions on the ground.
  • Coordination off boarding incl. checking all equipment and coordinate shipment with IT in Poland.
  • Managing and maintaining local IT inventory on stock.
  • Set-up conference rooms for larger meetings.

Company activities & event management:

  • Coordinating employee activities (quarterly sales meeting, Christmas party, etc.)
  • Coordinating company activities and events (often include customer events, e.g. supporting the local marketing team with local customer event management in the office itself or external locations)

Company cars:

  • Local company car-pool administration (Fleet management: new car orders, replacement and petrol card).

Travel:

  • Be the main point of contact with the travel agency to report issues with employee bookings when needed
  • Support the team with travel requirements
  • Lead training to employees for Travel expenses and approvals done according to business guidelines and requirements

Support General Manager (and potentially other senior leaders in the country)

  • Provide general support when needed.
  • Support with travel arrangements.
  • Coordinate calendars and schedules when requested.
  • General admin support and preparation/ filing of documents and presentations.
  • Working with senior stakeholders across the business to deliver projects and events.

In this role, you'll need

  • Strong organizational skills
  • Native Dutch and fluent English
  • Strong IT skills (MS Office)
  • Efficient at managing competing demands including the ability to prioritize, respond timely, and regular communication
  • Intuitive problem-solving skills and a strong ability to manage details
  • High sense of accountability and brings an agile can-do attitude to facing problems
  • Sense of urgency in responding to customers and solving problems
  • Bachelor degree is a plus with 4+ years of directly related experience, preferably gained in an international environment
