Job Location: The Hauge, Netherlands

Salary Range: 1,700-2,150 EUR (Monthly)

Working Hours: It is a part-time role with 5*1/2 days: 3 days in the office, 2 days remote.


About the Role:

BRAC International (BI) is seeking an Executive Assistant, BIHBV in Netherlands who is aligned with its ethos of working in partnership with communities to create impact for scale. The Executive Assistant, BIHBV will be a part of BRAC International’s core programme team. S/he will provide proactive administrative and secretarial support, exercising confidentiality and diplomacy at all times reporting directly to the Managing Director of BIHBV. As the Executive Assistant, you will contribute to various activities that optimize the time efficiency including travel logistics, communication, coordination, diary management, and overall administrative tasks. You will be based at our office in The Hague, The Netherlands.


Key Responsibilities:

  • Calendar Management: Efficiently manage complex calendars, including scheduling appointments, coordinating meetings & events, and ensuring optimal time allocation
  • Travel Coordination: Work with the team to arrange international travel, accommodations, and logistics for business trips, conferences, and events, ensuring a smooth travel experience. For major events, the team from Dhaka will take the lead on these arrangements.
  • Document Preparation: Assist in creating, editing, and formatting documents, presentations, reports, and spreadsheets using Microsoft Office and other relevant software.
  • Meeting Support: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Attend meetings when necessary, taking notes and ensuring follow-up actions are tracked.
  • Data Management: Maintain and organize databases, files, and records, ensuring accurate and accessible information.
  • Confidentiality: Handle sensitive and confidential information with discretion and maintain a high level of professionalism in all interactions.
  • Collaboration: Collaborate closely with cross-functional teams and departments to facilitate effective communication and coordination.
  • Ad Hoc Tasks: Undertake additional tasks and responsibilities as directed by the Managing Director.


Safeguarding:

  • Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the programmes goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  • Identify the nature of incident and report according to the safeguarding reporting procedure; and encourage the staffs to report accordingly.


Academic Qualifications:

  • Bachelors from any discipline from a reputed university.

  • Exceptional organizational and time management skills with the ability to prioritize effectively and meet deadlines in a fast-paced environment.
  • Proven administrative skills with a focus on efficiency, accuracy, and attention to detail.
  • Strong problem-solving abilities and a proactive approach to resolving problems


Communication & Interpersonal Skills:

  • Excellent written and verbal communication skills.
  • Good note-taking and meeting summarization skills.
  • High emotional intelligence with the ability to build and maintain strong relationships, foster trust, and navigate complex interpersonal dynamics.
  • Ability to work remotely and independently with remote support from the Chief of Staff based in Nairobi


Work Ethic & Approach:

  • High attention to detail and accuracy in all work performed.
  • Ability to multitask effectively and manage competing priorities.
  • Quick learner with the ability to absorb information rapidly and take proactive action.
  • Inquisitive and adaptable with a strong desire to learn and navigate the unique challenges of collaborating with BI MF and MFI leadership.


Technology Proficiency: Familiar with Google Workspace (Gmail, Calendar, Meet, Drive, Docs, Sheets, Slides), Microsoft 365 Suite (Word, Excel, PowerPoint, Outlook) and basic IT skills.


Discretion and Confidentiality: Ability to handle sensitive information with the utmost discretion.


Experience Requirements:

  • We are looking for a candidate with a minimum of 5-7 years of work experience in a corporate environment and at least 2 years of work as an Executive Assistant or in a similar role
  • Experience working either in Africa or with counterparts in Africa is desirable
  • Bonus if you have worked for financial institutions in the past
