Octagon Professionals is looking to recruit a number of staff to provide a service to ESTEC in the Netherlands (based in Noordwijk) in the area of Business Management Support in the Human Robotic and Exploration Directorate, which leads the development of several space projects (e.g., lunar projects, Mars & beyond, etc.).

In relation to Administration and Secretarial Support, Octagon is seeking skilled professionals to undertake the following tasks:

  • Coordination of meetings and agendas;
  • Manage email inbox(es) and correspondence;
  • Handle missions, travel arrangements, claims, etc.;
  • Provide support in producing/maintaining organization charts, handling leave/timesheets, etc.;
  • Support the organization of events (workshops, conferences, team events);
  • Support the ordering and maintenance of office supplies and merchandise;
  • Handle site access, IT resources, office distribution, and room booking;
  • Handle shipments and incoming mail and packages through ESTEC;
  • Support the team in document administration.

Coordination, Reporting, and Administration Support This service will provide coordination, administration, and reporting support covering the following tasks:

  • Support the production of reports;
  • Coordinate, prepare, review, approve, and publish documents;
  • Perform proofreading, formatting, and editing to ensure documents are structured, written, and formatted consistently;
  • Support the logistics of official meetings.

Public Relations and Administration Support This service will provide administrative functions and support to the Public Relations Office in EAC, Cologne:

  • Provide general administration support, including maintaining the stock of stationery for the PR office;
  • Provide PR administration support related to astronaut PR;
  • Manage external requests for astronaut appearances;
  • Support the EAC communication team;
  • Support the EAC Public Relations;
  • Organize events and visits at EAC;
  • Ensure the implementation of Public Relations related information systems/databases.

Requirements:

  • Bachelor's degree in science/engineering and/or business subjects. Professional certifications in relevant areas are an asset;
  • At least 5 years of demonstrated related experience in the Space/High Tech sector and in the work package/tasks described above;
  • Proficient with one or more of the following: Microsoft365, Visio Professional, ESA-P, ESA-STAR, EROS, THREAD, Polaris, ECLIPSE, OMNES, WLMS, CIFM, MAS, IPCDB, HRE Workforce Database, PowerBI, Business Objects, LLM modules, ESA Data Factory, and Symbio/Zenith;
  • High capacity to communicate effectively with international teams from engineering, technical, and business domains;
  • High level of organizational skills, flexibility, and ability to identify priorities;
  • Strong and effective interpersonal and communication skills;
  • Fluent in English, both written and spoken.
