The Project:


Working on an exciting major infrastructure project close to Amsterdam, you will be part of a team controlling the documentation process on a complex project for the client.

Controls for Engineering, Delivery, Commercial, Contract and Contractor Administration are an essential client requirement, and the document control team are a key factor in achieving these aims.

The role is based in the Netherlands.

You will provide full, effective, and timely support of the project's Administration and Document Control Process via the project's control / EDMS system (Aconex) / SharePoint.

The document controller manages the registration, receipt, distribution, and issue of all contractual documentation, as well as issuing, and registering of all formal project documentation.

Typically, this includes quality compliance with document control standards, keeping a record of document status, liaising with project members, and chasing outstanding information.

You will work within a team of Document Controllers and liaise with Design Team, Delivery Team, Commercial, Project Managers and Contractor's Document Control regarding the production and issuing of project documentation during the life cycle of the project in line with project's protocols.

Support supply chain in following information processes. Building an understanding of the tool sets used on the project. Awareness of current methodologies and tools to manage data and information related to project. Understanding the basics of project processes, from design through to handover.

You'll be responsible for:

  • Follows IM processes effectively and efficiently and adhere to standards (inc ISO19650) for clientfacing projects and programmes.
  • Contributes to ensuring the project/programme IM function effective and efficient such that project personnel can access information they need.
  • Supports and guides project/programme colleagues in IM practices and processes.
  • Assurance and quality control of documents and artefacts submitted and stored.
  • Contributes to the setup, implementation, and development of the Common Data Environment (CDE).
  • Contributes to global Digital Centre of Excellence including body of knowledge, processes, case studies.
  • Responsible for coordinating activities ensuring management and successful project/programmes.
  • Coordinates work activities to achieve agreed objectives and provide performance management, development, and coaching.
  • Works collaboratively towards the common goal of net zero carbon transition and share responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work.

You'll need to have:

  • Excellent IT skills covering Microsoft Office
  • Excel, Word, Outlook. Adobe Acrobat / Nitro Pro.
  • Knowledge and use of document control systems (EDMS), Aconex advantageous.
  • Some Information Management experience from one or more projects and programmes.
  • Good written and oral communication, used to working with different stakeholders. Disciplined, methodical and organised.
  • Effective team member and helping/training others.
  • Able to work independently.

You'll also have:

  • Technical qualifications and certifications such as APM IM, Assoc of Information Managers, (or equivalent).
  • Subject expert experience in key IM software including Aconex, Viewpoint, Business Collaborator, etc
  • ISO 19650 series, UK BIM Framework, CDE management.
  • Experience of working in an international setting either remotely from or outside the UK.
  • Familiarity with information architecture, naming, numbering, filing conventions. Working towards technical qualifications and certifications such as APM IM, experience of software e.g. Aconex, SharePoint.
