  • Complex Calendar Management: Efficiently optimize managers' time based on priorities. Manage, prioritize, and coordinate calendars, schedule meetings with internal and external stakeholders, and ensure compliance with planning and deadlines.
  • Meeting Coordination: Plan, prepare, and coordinate (virtual/hybrid/in-person) meetings and committees; draft agendas, collect and distribute documents, attend when required, take minutes and record actions, and ensure appropriate follow-up.
  • Inbox Management: Effectively review and prioritize incoming communications (correspondence, emails, and calls), ensuring timely follow-up while maintaining a high standard of communication. Act as a gatekeeper and proactively monitor deadlines.
  • Travel Arrangements: Manage extensive travel bookings, including tickets and accommodation, using the company tool in compliance with travel and expense policies.
  • Expense Management: Oversee the use of expense registration tools
  • Event Organization: Plan and organize (team) events.
  • Administrative Support: Process invoices, work orders, and tickets across relevant administrative systems
  • Financial Calendar Management: Responsible for maintaining the annual financial calendar.
  • Stakeholder Management: Serve as the primary point of contact for internal and external stakeholders and third parties.
  • Additional Responsibilities: Perform other duties as assigned by the manager, provided they fall within the job scope and capabilities of the role.
Profiel
  • At least 5 years of proven experience as an Executive Assistant in an international corporate environment.
  • Excellent planning and organizational skills.
  • Proactive mindset with the ability to take initiative and make independent decisions.
  • Strong calendar management skills, with a deep understanding of business context and priorities.
  • Detail-oriented and culturally aware.
  • Highest level of discretion, capable of handling sensitive, complex, and highly confidential information.
  • Positive, can-do attitude, highly adaptable, and self-motivated.
  • Exceptional interpersonal skills, with the ability to engage effectively with internal and external stakeholders at all levels; strong team spirit.
  • Highly proficient in Office 365.
  • Fluent in Dutch and English, both written and spoken.
  • Experience supporting C-level executives
