We are seeking an HR Administrator responsible for supporting the Human Resources department with administrative tasks, ensuring smooth HR operations, and assisting employees with HR-related inquiries. This role involves managing employee records, coordinating recruitment processes, overseeing payroll and benefits administration, and ensuring compliance with company policies and labor laws.
The HR Admin Assistant will:
- Be responsible for assisting and maintaining HR data in the relevant systems accurately and in a timely manner.
- Also oversee the entire process of administrative engagement of contracted services
Duties and Responsibilities:
DATA MANAGEMENT
- Compile, and sort information to prepare source data for computer/database entry and register / organize documents for electronic filing.
- Updating of HR system (creation, update, review data for deficiencies or errors, correcting any incompatibilities and checking output, etc.)
- Retrieve data from the database or electronic files as requested / required.
- Proactively work to resolve any discrepancies between documents, planning and system.
CONTRACTED SERVICES ADMINISTRATION
- Administration of commercial offer & work order for contractors (move; country change, price, etc.) linking with crewing and manning agencies
- Follow-up of proforma invoices with manning agencies.
- Proforma (invoices) checking, receipt and controlling with system planning (liaise with crewing)
GENERAL ADMINISTRATION ASSISTANCE
- Management of employment documentation for staff.
Requirements:
- Bachelor level minimum
- Experience: 2 years of HR Data management
- Good understanding of databases
- Proficient in MS Office (Excel, Outlook, and Word)
- An ability to work with deadlines
- Attention to detail
- Good organizational and communication skills
- Maintain confidentiality
- English is mandatory, French is a plus.
