Fleet, T&E Senior Specialist is part of Fleet, T&E team within Business Services covering EMEA. Overall responsibilities covers 1) ensure correct, efficient and timely expense processing, 2) escalation handling and non-standard cases, 3) Credit card management covering application, follow up and clearing as well as termination, 4) Employee training, policy awareness and support, 5) Continuous improvement of processes utilizing automation and system capabilities, 6) Fleet Management coordination supporting drivers with lease car, 7) Audit support when needed.
What you will do:
This position will be mainly dealing with day to day T&E and Fleet activities such as Concur non-standard cases, expense submission, operational fleet management of vehicles for new orders, managing leasing companies and Finance policy awareness. Part of the role will also be credit card reconciliation of expenses and follow up on old items in Concur and SAP. In addition continuous improvement of processes to reduce manual work and leveraging automation and available systems capabilities..

• Service minded employee support via mail, phone and chat
• Audit/approve expense reports in Concur
• Data analytic and forensic audit
• Follow up on aged items in Concur and SAP
• Audit expense receipt
• Enforcing of Travel & Expense and Fleet Management policies
• Support and coordinate lease car ordering with employees and lease provider
• Support drivers and HR on daily basis
• Manage internal lease car administration
• Support with operational metrics and KPI reporting
• Assists with external and internal audits
• Collaborative working across teams for Finance and Kao general objectives
• Additional requirements and ad hoc requests as assigned.

• Bachelor's degree or equivalent in a relevant field
• Minimum 3 years working experience within one or more of the key areas of Fleet, Travel and Expense Reimbursement
• Forensic audit experience a plus
• Good experience in advanced Microsoft Excel to analyse big data
• Proficiency in expense management software
• Strong data analysis skills
• Understanding of fleet management processes a plus
• Compliance with fleet, travel and expense policies
• Experienced in vendor management
• Reporting and presentation skills
• Financial understanding a plus
• Strong customer service skills
• Strong attention to detail but still efficient and good time management
• Change Management and/or Project Management skills a plus
