Events Coordinator

WYSE Travel Confederation

WYSE Travel Confederation is the global representative association for youth and student travel operators. Each year, we organise and run several international events that bring together industry professionals from around the world.

We are looking to recruit an experienced Events Coordinator to support the Events Manager in coordinating all logistical and administrative aspects of WYSE events. This is a full-time role (40 hours per week, Monday to Friday) , reporting to the Events Manager .

This position is not suitable for first-time job seekers or candidates without experience in large-scale events .

Key Responsibilities
  • Provide organisational and operational support in the planning and execution of WYSE events.
  • Assist in managing event registration systems, business appointment scheduling, and report generation .
  • Handle email and telephone enquiries , ensuring prompt and professional communication.
  • Liaise with the WYSE membership department to ensure delegate information is accurately recorded in our database.
  • Work with the Marketing department to provide event content for the website, emails, and other communications.
  • Conduct research tasks as directed by the Events Manager, including venue sourcing, supplier liaison, and travel arrangements .
  • Assist in liaising with clients (internal and external) to meet their event requirements .
  • Help ensure events align with WYSE’s goals, budget, and overall organisational objectives .
  • Collaborate with colleagues on cross-departmental projects to support broader organisational initiatives.
  • Travel a few times a year to international conferences and events to assist with on-site delivery.
Skills & Qualifications Required
  • Proficiency in Office 365 (Word, Excel, PowerPoint, Outlook).
  • University-level education (or proven equivalent experience) with a major in tourism, travel, or event management .
  • Excellent communication skills in English (written and spoken); additional languages are a plus.
  • Self-motivated, proactive , and able to work independently with minimal supervision.
  • Strong organisational skills and keen attention to detail.
  • Ability to collaborate across departments to deliver successful events.
  • Strong time management skills with the ability to plan, prioritise, and meet deadlines.
  • International mindset with an appreciation for working in a diverse, global industry.
