PAYROLL SPECIALIST AND ADMINISTRATION MANAGER

Job Summary:

They are seeking an experienced and proactive Payroll and Administration Manager to oversee the payroll and administrative functions for our team in the Netherlands (100% home office/stores). This is a newly created role that will be integral in managing the payroll process for approximately 250 employees and driving the implementation of Workday as part of our HRIS (Human Resources Information System) project. The successful candidate will also lead the creation and implementation of key HR processes to optimize efficiency and compliance across the organization. The ideal candidate will have at least 8 years of experience in payroll and administration, with strong project management skills, particularly in HRIS systems and process development.

Key Responsibilities:

  • Oversee the end-to-end payroll process for 250 employees in the Netherlands, ensuring timely and accurate processing.
  • Ensure compliance with Dutch labor laws and tax regulations, staying up-to-date with any changes or updates.
  • Manage employee benefits administration, including pensions, healthcare, and other company-specific programs.
  • Handle all employee data and payroll-related queries, providing support and resolving issues in a timely manner.
  • Coordinate with external payroll service providers and internal HR teams to ensure the accuracy of payroll data.
  • Prepare and submit all statutory reporting for the Netherlands, including tax filings, social security contributions, and other legal requirements.
  • Lead the implementation of Workday as part of the HRIS project, working closely with internal teams and external consultants to ensure a smooth rollout.
  • Manage KPI and data management.
  • Set up payroll and administrative processes
  • Support the HR Director and HR team in strategic projects, including the optimization of HR workflows and compliance.
  • Manage the change management process associated with the new HRIS system and associated HR processes.
  • Collaborate with finance and accounting departments to ensure accurate reporting and reconciliation of payroll-related expenses.
  • Deal with administrative tasks, including onboarding, contracts, and employee records management.
  • Provide training and guidance to HR and payroll teams on new systems and processes as needed.

Requirements:

  • At least 8 years of experience in payroll and HR administration, with a proven track record of success in a similar role.
  • Strong experience in HRIS project management , particularly in the implementation of Workday or other HR systems.
  • In-depth knowledge of Dutch payroll legislation , tax laws, and social security systems.
  • Experience in designing and implementing HR processes, with a focus on automation and efficiency.
  • Experience with payroll software and HR systems (Workday experience is highly desirable).
  • Strong project management skills, with the ability to manage timelines, resources, and stakeholder expectations.
  • Excellent organizational and time management skills with the ability to manage multiple priorities effectively.
  • Excellent attention to detail, problem-solving skills, and a proactive approach to continuous improvement.
  • Ability to work independently, as well as part of a team, and communicate effectively across various levels of the organization.
  • Fluency in Dutch and English, both written and spoken.
  • Candidate has to be based in the Netherlands.
