ABOUT THE POSITION

The Office Manager has a key role within the back-office team of SYNOVA. In this role you will be responsible for office management including support to staff, administration, and external communication.

The job is for 32 hours per week of which minimum 3 days in the office.

The Synova office is located in Maassluis, the Netherlands.

YOUR TASKS AND RESPONSIBILITIES

Your tasks and responsibilities are divided in three main areas.

General office coordination:

- Reception of visitors
- Management of facilities and related suppliers
- Office supplies

Staff and administrative support
- Scheduling of meetings and appointments, including support of audio/visual facilities (VC, conference calls)
- Coordination of travel bookings and events
- Support to office staff for presentations (power point) and translations
- Coordination of IT registration and troubleshooting
- Supporting administrator with handling incoming and outgoing invoices

Communication support (including website and social media)
- Monitoring social media accounts and websites of our competitors, clients, and associations with regard to news relevant to our business and prepare monthly reports
- Preparing drafts of LinkedIn messages for the SYNOVA company account
- Posting announcements on the SYNOVA company website

YOUR PROFILE AND QUALIFICATIONS

You are a flexible, internationally oriented Office Manager, have a hands-on mentality with a high level of confidentiality and you are used to work within a fast-paced work environment.

Specific aspects of your qualifications which we seek include:

- Dependable, reliable and punctual
- Excellent planning & organizational skills
- Appetite for a broad variety of tasks
- Ability to maintain a high level of accuracy in preparing and processing information
- Ability to prioritize tasks
- Professional written and verbal communication skills
- Proactive and assertive
- Having an international attitude and able to communicate with different nationalities
- 5 -10 years experience as an Office manager or Secretary in a highly demanding, international environment
- Mandatory to be fluent in English and Dutch, both verbally and in writing.
- Living within commuting distance from Maassluis
