This position reports directly to the Office Manager and serves as the first point of contact for visitors and staff alike. The successful candidate will be responsible for providing administrative support and ensuring the smooth operation of our front office.
Your Key Responsibilities- Manage the switchboard for Rijswijk and Breda locations, maintaining an up-to-date calling list.
- Handle mail, packages, and various administrative tasks, including hotel and taxi reservations.
- Be responsible for the Coffee Corner and oversee office supplies, flowers, and other essential orders.
- Coordinate guest and employee badges, as well as parking lot access.
- Plan and coordinate meetings, including scheduling meeting rooms, handling logistics, and assisting with both internal and international meetings.
- Manage pool cars and rental car orders in collaboration with I-procurement.
- Handle visa-related matters, including requests, invitation letters, and guarantee letters.
- Collaborate with the Office Manager on personnel events and other office-related tasks.
- Post content on Intranet & Narrowcasting and oversee office-related communications, including mailbox administration.
- Work closely with various departments (Catering, Facility, Marketing) on tasks such as meeting arrangements, security, and gift distribution.
We're seeking a highly organized and communicative individual with excellent verbal and written skills in Dutch and English. A Secretary degree (MBO-4 level) or equivalent in a related field is required, along with proficiency in MS Office (Word, Outlook, and Teams).
A proven track record in a customer-facing role, office assistant, or equivalent position is a significant advantage. Additionally, proficiency in French is a preferred qualification.
