Job Description
The Office Assistant plays a vital role in creating a welcoming atmosphere for visitors and employees at Smurfit Westrock. This position requires a high level of administrative support to the Office Manager, ensuring seamless daily operations.
Key Responsibilities:
- Welcome on-site visitors, determine their purpose, and announce them to the appropriate staff member;
- Answer incoming telephone calls, determine their purpose, and forward them to the relevant personnel or department;
- Provide exceptional customer service by presenting themselves in a professional manner when interacting with visitors and customers;
- Manage meeting room bookings and coordinate logistical aspects, including setup, catering, and equipment arrangements;
- Maintain security awareness and monitor visitor access;
- Ensure timely delivery of mail and courier shipments;
- Assist with event planning tasks, such as scheduling meetings, booking venues, and managing logistics;
- Perform general clerical duties, including photocopying, faxing, mailing, and filing;
- Employ problem-solving skills to address unexpected issues that may arise during the workday;
Qualifications:
- Demonstrate flexibility and reliability as a team member;
- Possess strong problem-solving skills and verbal communication abilities;
- Show a customer-focused attitude and ability to work independently and collaboratively;
- Hold a similar role experience and education equivalent to an MBO degree;
- Fluency in English is required, with additional European languages being an asset;
- Ability to work a rotating schedule, including early morning starts and evening shifts;
- Requirement to work onsite.
