Part-Time Business Office Financial Assistant

The Business Office Financial Assistant is a key member of the Finance department/Business Office team, reporting directly to the Business Office Manager. The team is responsible for the accounting and administration of all financial transactions of the school according to Dutch legal standards. This position is crucial in assisting the team process financial transactions efficiently, ensuring proper back-up is set up between team members, and helping the team make concrete improvements.

We are looking for a local resident with a strong background in finance administration to join our team.

Key Responsibilities:
  • Accounts Payable and Creditors' Control:
    • Process incoming invoices and expense reports in a timely and accurate manner in AFAS.
    • Ensure incoming invoices can be processed to the appropriate budget holders and stay within approved budget amounts.
    • Assist in follow-up and matching of other expenses budgets in different systems.
    • Ensure that processed invoices and expense reports are signed and approved before their deadline and paid on time.
    • Sending any PO request including but not limited to CAPEX purchase requests for approval.
    • Help preparing the payment batches.
    • Booking and reconciling bank statements in AFAS.
  • Financial Closing:
    • Assist in the Monthly Closing of Accounts Payable.
    • Processing the credit cards statements (reconciliation between accrued credit card accounts).
    • Monthly review and control of specific analytical accounts when required.
  • Petty Cash Accounting:
    • Count, document, and process cash payments and expenses.
    • Keep a sufficient balance of the petty cash.
    • Ensure that the petty cash is safely stored.
  • General Financial Accounting:
    • Conduct general accounting work, including archiving, answering day-to-day questions, professional development spending in cooperation with HR, etc.
    • Assist accounts receivables on demand and on specific back-up tasks.
    • Help employees, parents, and students with a variety of financial questions, answering them in a timely, polite, and professional manner.
Requirements:
  • Education: Degree at HBO (college level) or higher.
  • Experience: At least 3-5 years of experience in finance administration, preferably in an international setting.
  • Part-time up to 32 hours.
  • Takes initiative, can work independently, is extremely service-oriented, and accurate. Culturally sensitive and a real team player.
  • Computer skills as required in a modern IT-oriented organization.
  • Required knowledge/skills: Fluency in English and Dutch, both verbally and in writing, general knowledge of Dutch (accounting) laws and regulations, awareness of finance best practices, excellent communication skills.
  • Specific requirements: Experience with accounting software AFAS preferred as well as MS Office.
