About the Role
As an Office Assistant at Smurfit Westrock, you will be responsible for providing top-notch administrative support to the Office Manager and contributing to the creation of a warm and welcoming environment for our guests and employees.
Key Responsibilities:
- Welcome visitors, identify their purposes, and notify the relevant staff member;
- Answer phone calls, determine their purpose, and redirect them to the correct person or department;
- Develop a service-oriented approach to interact with visitors and customers, showcasing professionalism and courtesy;
- Coordinate meeting room bookings and organize logistical aspects, including setup, catering, and equipment;
- Safeguard the premises and oversee visitor access;
- Efficiently manage the distribution of mail and courier shipments;
- Support event planning activities, such as scheduling meetings, arranging venues, and handling logistics;
- Carry out general office tasks, like copying, faxing, mailing, and filing documents;
- Utilize problem-solving skills to address any unexpected situations that may arise during working hours;
Requirements:
- Teamwork and adaptability are essential attributes for this role;
- Effective communication and problem-solving skills are necessary;
- A customer-centric approach and ability to work both independently and collaboratively;
- Previous experience in a similar position and education equivalent to an MBO degree;
- Proficiency in English is mandatory, while fluency in other European languages can be beneficial;
- Flexible schedule requirements, including early starts and late finishes;
- Onsite work is a necessity for this position.
