Event Project Coordinator

The coordination of events, conferences, webinars, and educational courses is a vital component of the ongoing educational initiatives at EAU. Our in-house congress organizer, Congress Consultants (CC), manages these activities, which can range from intimate gatherings of 50 participants to large-scale congresses hosting up to 12,000 attendees. For smaller events, CC collaborates with various project teams, while the entire Congress Consultants team comes together for our most significant event, the Annual EAU Congress, dividing responsibilities into logistics, registration, and scientific teams that work closely with multiple departments including Sales, Communication, IT, Finance, Guidelines, and Education at the EAU Central Office.
Key Responsibilities
As the Event Project Coordinator, you will independently manage the organization of international events, conferences, webinars, and courses, while operating under the guidance of a Project Manager or Project Lead. For larger events, you will collaborate with the entire team to ensure optimal outcomes, whereas for smaller events, you will have the autonomy to work independently. Your responsibilities will include:
- Coordinating logistics and overseeing the budget for events.
- Negotiating with suppliers and vendors.
- Assisting in the development of scientific programs and inviting faculty.
- Organizing social events and coordinating promotional activities in partnership with the Communication Department.
- Collaborating with the Sales department regarding exhibition and sponsorship opportunities.
The diverse nature of these meetings will test your organizational abilities. You should be adept at meeting deadlines, excelling in planning, and capable of quickly adapting to solve challenges as they arise.
Qualifications
- A bachelor's degree or higher in tourism, hospitality, event management, or facility management is preferred.
- A minimum of 3 years of experience in a similar role within the event or conference sector.
- A strong passion for organizing and coordinating events.
- A proactive 'can-do' attitude.
- Ability to work independently and a keen understanding of organizational structures.
- Excellent verbal and written English skills.
- Proficiency in Microsoft Office applications and experience with congress management systems and CRMs.
- Willingness to travel within Europe, approximately 5-10 times a year for durations ranging from 1 to 10 days.
What We Offer
We provide a challenging and varied role within the international environment of the EAU Central Office. The salary range is between €35,000 and €40,000 gross annually. Additionally, we offer a robust pension plan, 25 vacation days, and an annual profit-sharing opportunity based on positive financial performance.
