The role of an Air Import Customer Service representative involves ensuring the smooth transportation of goods via air freight. Key responsibilities include:

  • Confirming bookings with customers, if necessary
  • Providing airline booking instructions, if required
  • Verifying pre-alerts for completeness and notifying customers
  • Informing customers of flight arrival status
  • Ensuring proper release of shipments by checking HAWB/MAWB status
  • Preparing customs clearance accurately and in a timely manner
  • Preparing trucking orders accurately and on schedule
  • Collecting PODs upon delivery completion
  • Reporting exceptions to customers or counter offices
  • Updating milestones promptly in the system

Operational Export Flow Tasks:

  • Processing supplier bookings and informing overseas stations when applicable
  • Processing airline bookings based on requested flight schedules and rate agreements
  • Handling export customs clearance with suppliers and customs brokers
  • Coordinating pre-carriage with selected trucking vendors
  • Managing security screening, including Dangerous Goods when applicable and certified
  • Processing HAWB/MAWB
  • Handling CMA/VBA/ECS/Cargonaut documentation and procedures
  • Completing AP/AR billing to finalize files
  • Creating complete pre-alerts to overseas stations and customers
  • Reporting exceptions to customers or counter offices

Additional Responsibilities:

  • Ensuring completeness of both digital and hardcopy files
  • Collaborating with the sales team to ensure clear SOPs and documentation for excellent customer implementation
  • Maintaining proactive and professional communication with customers, vendors, and internal staff
  • Supporting inside sales with obtaining or quoting rates when requested
  • Preparing or verifying reports upon management request
