About Us

Gekko Trading is a young and fast-growing international trading company (4 FTE) based in Amsterdam. We source and ship food products to markets across West and Central Africa (over 500 shipments per year and growing fast). Our business moves quickly: multiple shipments per week, dynamic suppliers, different currencies, and a broad partner network.

We are looking for someone who can bring structure, clarity, and consistency to our finance operations as we continue to grow.

Role Purpose

You will take ownership of day-to-day finance operations — including supplier payments, account reconciliations, tax support, expense processing, and consistency checks against agreements. You will help ensure our financial workflows are accurate, timely, and scalable, and you will contribute to improving how our processes run as the company grows.

You work closely with a senior and experienced financial external advisor who supports Gekko Trading on a strategic finance level.

Responsibilities

Supplier Payments & Invoice Processing

• Maintain an organized overview of upcoming supplier payments and open balances
• Ensure invoices are complete, accurate, and approved before processing
• Prepare payment batches and support posting/booking in the accounting system

Account Reconciliation (Suppliers & Customers)

• Reconcile supplier and customer accounts on a regular basis
• Investigate and resolve differences in statements or balances
• Maintain clean records of outstanding payables and receivables
• Coordinate follow-ups with internal teams and external partners

Tax Administration & Compliance Support

• Prepare data for periodic VAT filings and coordinate submission
• Support our external accountant with corporate tax documentation
• Process payroll-related tax items
• Maintain documentation in line with bookkeeping and audit standards

Expense Invoice Handling

• Monitor incoming invoices to ensure timely recording
• Categorize expenses to the correct accounts and cost centers
• Maintain consistency and completeness in documentation

Financial Controls & Contract Consistency Checks

• Verify that financial records reflect agreed terms (e.g., prices, payment terms, hedge settlements)
• Perform checks to confirm accuracy and flag discrepancies early
• Coordinate resolution with the finance lead and external partners

Process & System Improvement

• Help standardize finance workflows as the company grows
• Support improvements to tools (Exact Online, Airtable, Excel/Sheets)
• Suggest and implement small efficiency and clarity improvements

What You Bring

• Proven experience in finance operations, accounting, or controlling
• Solid understanding of bookkeeping fundamentals (reconciliations, journal voucher bookings, matching, debits/credits)
• You thrive in a fast moving and changing start-up/scale-up environment
• Strong Excel / Google Sheets ability (lookups, pivot tables, SUMIFS)
• Experience with accounting software (Exact Online or similar) — Exact is a plus, not required
• Proven understanding of high-volume, low margin business dynamics
• Structured, accurate, and reliable working style
• Proactive communicator who follows up and closes loops
• Enjoys improving processes and bringing clarity and organization
• Fluent English; French is a plus but not required
