Job Purpose:
- The Air Customer Service Representative (Export) is primarily responsible for managing and executing the operational export flow of airfreight shipments. This includes handling bookings, documentation, customs clearance, transportation coordination, and customer communication to ensure a smooth and efficient export process. The role also includes backup support for import operations and other administrative tasks related to airfreight services.
Key Responsibilities:
Primary Responsibilities – Export Operations:
- Coordinate and process supplier bookings and communicate with overseas stations.
- Handle airline bookings based on customer flight schedule and rate agreements.
- Manage export customs clearance with suppliers and customs brokers.
- Arrange pre-carriage using approved trucking vendors.
- Ensure security screening, including Dangerous Goods when certified.
- Prepare and process HAWB/MAWB documentation.
- Manage CMA/VBA/ECS/Cargonaut documentation and procedures.
- Complete AP/AR billing to close and finalize files.
- Send complete pre-alerts to overseas stations and customers.
- Report all exceptions or irregularities to customers and counter offices.
- Update shipment milestones accurately and in a timely manner within the system.
Secondary Responsibilities – Import Operations (Backup Only):
- Confirm customer bookings and provide airline booking instructions.
- Review pre-alerts for accuracy and notify customers accordingly.
- Monitor flight arrivals and send arrival notices to customers.
- Verify HAWB/MAWB status to ensure proper release.
- Coordinate customs clearance and trucking orders promptly and accurately.
- Collect Proof of Delivery (POD) upon completion of delivery.
- Report any exceptions to customers or overseas offices.
- Update shipment milestones and vendor payment POs in the system.
Issue and send invoices in line with company standards.
Additional Responsibilities:
- Ensure all files (digital and hardcopy) are complete and accurate.
- Collaborate with the sales team to ensure clear SOPs and documentation for customer onboarding.
- Maintain professional and proactive communication with customers, vendors, and colleagues.
- Support inside sales with rate quotations upon request.
- Assist management by preparing or verifying operational reports.
Conduct regular file checks to ensure monthly financial accuracy.
Qualifications & Skills:
- Proven experience in airfreight customer service and export operations.
- Knowledge of international shipping documentation and customs procedures.
- Familiarity with Dangerous Goods handling (certification is a plus).
- Strong organizational and multitasking skills.
- Excellent communication skills in both written and spoken English.
- Proficient in logistics systems and Microsoft Office (Word, Excel, Outlook).
- Ability to work independently and collaboratively in a fast-paced environment.
