For initial appointments, the Court offers a two-year appointment with the possibility of extension (six month probationary period).
A roster of suitable candidates may be established for this post as a result of this selection process for fixed-term appointments against both established posts and positions funded by general temporary assistance (GTA).
Important:
Recruitment for this post in the General Service category is done on a local basis. As a result, staff are generally recruited from the area in which the particular office is located but could be of any nationality. Candidates applying to a post in the General Services category shall meet the relevant employment and immigration requirements in the country of the duty station, including fulfilling residence and work permit conditions.
Applicants will be responsible for any expenses incurred in relation to: visa, travel to and from, and relocation to and from the duty station, in the event of an employment offer.
A staff member in the General Service category who has been locally recruited shall not be eligible for the entitlements and/or benefits exclusively applicable to internationally recruited staff.
Organisational Context
The Court Management Section (CMS) is in the Division of Judicial Services within the Registry. CMS has the Registry's delegated responsibility to provide support to core processes of the Court's judicial proceedings, in particular for the court operations and judicial information management. This includes (i.a.) representing the Registrar during the court proceedings, supporting the current court applications and keeping a full and accurate record of all proceedings before the Chamber. Furthermore the Section is responsible for the receipt, processing and distribution of the official court filings, production of transcripts and the audio-visual recording of the proceedings.
Duties and Responsibilities
Under the general supervision of the Head of the Judicial Operations Unit, the incumbent:
- Manages the daily ongoing work processes in a highly autonomous manner and provides advice on transcript management processes to the CMS management team; centralizes team management by addressing questions and informing at team level;
- In relation to the JWP, centralizes observations, suggestions, and issues reported and encountered, coordinates with appropriate partners to improve the system where possible and reports to the Unit Head, including status and progress reports;
- Assists in the drafting of policies relating to transcripts, updates and maintains them; provides guidance to Transcript Coordinators regarding the policies and ensures consistency in the processing of transcripts; liaises with the courtroom staff as necessary;
- Perform Transcripts Coordinator duties; Ensures access to daily court transcripts to all interested parties within the Court accurately and in a minimum of time; Controls and organises court files, namely transcripts of hearings in the two working languages (French and English), in an electronic environment (editing, redacting confidential information, correcting, reclassifying, extracting relevant data/information and importing it in the electronic court management system, notifying different versions of transcripts to the appropriate recipients);
- Ensures that corrections and redactions approved by the Chambers are implemented in the transcripts and that all recipients are informed thereof;
- Maintains the safety, security and confidentiality of transcripts submitted in situations/cases in compliance with existing procedures and security regulations;
- Maintains archived transcripts in compliance with the applicable archival and retention regulations.
- Organizes continuous learning activity for Transcripts Coordinators to maintain and enhance their level of knowledge and expertise in the field of judicial records management;
- Provides statistics as required by the CMS Management team;
Essential qualifications
Education:
Completion of diploma of secondary education.
Experience:
A minimum of eight (8) years of work experience in a judicial organisation or legal setting of which at least two years devoted to the management of legal records.. An advanced or first-level university degree may be considered as a substitute for two years' working experience only to determine eligibility
Knowledge, skills and abilities:
- Knowledge of policies, procedures and practices related to the management of judicial records;
- Excellent computer skills in MS Office applications (Excel and Word) and Adobe or similar software and any record registration application is desirable;
- Ability to prioritize and manage a high workload on occasions;
- Ability to work efficiently and independently, team-oriented environment and to produce accurate work under pressure.
Knowledge of languages
Fluency in either of the working languages of the Court, English or French, is essential. Working knowledge of the other is highly desirable and an asset.

General Information
Candidates appointed to posts at a P-5 grade or in the Director category are subject to a maximum aggregate length of service of seven years. This is pursuant to a decision of the Assembly of States Parties (ASP Resolution ICC-ASP/23/Res.2) to implement a tenure policy at the Court as of 1 January 2025.
The selected candidate will be subject to a Personnel Security Clearance (PSC) process in accordance with ICC policy. The PSC process will include but will not be limited to, verification of the information provided in the personal history form and a criminal record check.

Post to be filled by a national of a State Party to the ICC Statute, or of a State which has signed and is engaged in the ratification process or which is engaged in the accession process. This is pursuant to a decision of the Assembly of States Parties (ASP Resolution ICC-ASP/23/Res.3) to introduce a moratorium on the recruitment by the ICC of staff of non-States Parties' nationality.
