Duties and Role:
- Act as the Point of Contact for the AirC2 Sharepoint Document Coordination Tool;
- Format a variety of documents such as letters and technical reports applying Agency templates and standards;
- Provide guidance and support to AirC2 Centre staff on the effective use of the Sharepoint based Document Coordination Tool, applying the AirC2 Quality Management standards and processes.
- Drafting of straight forward memoranda, notes and letters;
- Act as one of the points of contact for the Office of the Director, and deal diplomatically and effectively with a wide variety of activities;
- Support the Office of the Director with Tasker Tracker assignments allocated to the AirC2 Centre by other Business and Functional areas in the NCI Agency;
- Act as the functional administrator for action and task management;
- Support the preparation and execution of meetings: including but not limited to gathering / organising the documents to be screened based on the agendas, providing background information and recording minutes and actions, as directed;
- Determine, control and maintain the daily information flow at all classification levels within the organizational unit and initiating follow-up actions, as appropriate;
- Assist staff in following procedures in accordance with NATO and Agency Directives and procedures;
- Ensure appropriate organization and coordination of visits, symposia and conferences hosted by the organization;
- Liaise with the staff of the AirC2 Centre and external contacts on issues relating to the Director;
- Performs other related duties as may be required.
Skill, Knowledge & Experience:
- The candidate must have a currently active NATO SECRET security clearance
- Higher vocational training in a relevant discipline with 1 year post-related experience; or a secondary educational qualification with 3 years post-related experience;
- Competent in the use of the internet and personal computer office automation packages to include Microsoft applications including SharePoint;
- Experience in reviewing, formatting and proof reading of documentation;
- Competent in the creation and management of collaboration workspace sites for information storage and dissemination;
- Proven experience in handling large volumes of work in an efficient and timely manner;
- Excellent command of spoken and written English, with a proven ability to communicate effectively both orally and in writing.
- Experience in Senior Management/Front Office duties;
- Experience with Document Management and Archive systems;
- Experience/ knowledge of NATO domains including NCI Agency, ACO and ACT;
- Prior experience of working in an international environment comprising both military and civilian elements;
- Knowledge of NATO responsibilities and organization, including ACO and ACT.
