We're looking for an additional temporary School Secretary to join our busy Senior School team, working four days per week through to the end of the school year (mid-July), and available to start as soon as possible.

There may be the opportunity for additional working hours during this time.

Responsible for providing administrative support for the Senior School, this will include administration, correspondence, database & record management, coordinating school events and off-site trips including site bookings and transportation, meeting room bookings, etc.


You'll also assist with administration and support for scheduled extra-curricular activities offered to our pupils through YMBSA (private music tuition) and an extensive after-school club programme.


Working in a large, vibrant international school environment, this is a pivotal role in our senior school, with daily interaction with teachers, pupils, and parents requiring a calm, diplomatic, organised, and professional approach.

General Responsibilities

  • Provide administrative support to the Heads of School (Senior School)
  • Ensure the senior school administration office is organised efficiently
  • Daily management of attendance / absences registers (pupils, staff)
  • Database maintenance (ISAMS, attendance & absences, student records, care plans, other relevant data)
  • Maintain and update care plans for pupils, in coordination with School Nurse
  • Follow the BSA safeguarding policies and procedures for child protection
  • Assist the Head of Extra-Curricular Programmes with afterschool clubs, including contact with parents, pupils and external club providers
  • Collate senior school & extracurricular programme information for booklets, brochures, and the school's website
  • Coordinate and assist in the organisation of school events and activities, such as parents' evenings, assemblies, and special celebrations
  • Assist with coordination of school trips and outings, including arranging transportation and communicating with parents and external providers
  • Assist in the preparation and distribution of school correspondence, including letters, forms, school reports, permission slips etc.
  • Assist teachers in various aspects including contacting parents and pupils where required
  • Maintain general student and confidential filing systems, as directed by Heads of School
  • Work outside of normal school hours may sometimes be required on occasion, with due notice provided (e.g. parents evenings)
  • Periodically provide support to the Reception team, if required

Experience

  • Proven work experience in a multitasking administrative role (or similar)
  • International school experience (useful)
  • Knowledge of the British educational system (useful)
  • Experience of ISAMS (school information management system) would be useful
  • Proficient in Microsoft Office & Google Docs

Application Process

Contract and benefits
This is a part-time position, working from 08:00 am to 5:00 pm, four days per week (with the possibility of extra working hours when required)
