What you do as Department and Project Support/Secretary:
As a Department and Project Support/Secretary, you support our colleagues within the Airport Asset Design group, part of our Aviation Business Unit. In this role, you are responsible for the administrative, secretarial, and project support tasks of the advisory group. You carry out assignments with our project teams for clients and support the management of the advisory group in the daily management of the organization and its activities. This way, we can fully focus on our customers. You have contact with other project supporters and secretaries within the unit, where you support each other and divide the work. Within this role, you learn everything about our organization, our customers, and the market. You are responsible for:
Supporting the team with booking tickets, hotels, and visas. Offering assistance in guiding new employees during the start-up and company systems. Registering and receiving visitors. Being the first point of contact for questions from both internal and external parties. Receiving incoming phone calls, answering questions, and transferring callers to the right person. Planning, prioritizing, and coordinating appointments for the assigned manager and/or (project) team, with the aim of contributing to efficient use of time. Managing mail groups within the advisory group. Managing and checking various lists (hardware, software, attendance schedules, etc.) Organizing and coordinating meetings (e.g., workshops, events, conferences, and video and telephone meetings), taking care of the facilities and logistics.Additionally:
Ensuring consistency and quality in documents, editing texts, correcting documents, and checking the use of house style and formats. Supporting projects in the field of document control and common data environments. Contributing to the preparations and activities for the delivery of documents, monitoring deadlines, and performing completeness checks. Carrying out project support and coordinating tasks and knowing how to prioritize them. Independently carrying out projects such as planning/organizing meetings, events, etc. (not applicable to external projects, usually internal meetings). Offering assistance with questions about support software applications and company or project processes for which you are responsible or involved. Planning and coordinating appointments. Processing purchase orders in our administrative management systems.Where you will work

As Department and Project Support/Secretary you will become part of the Business Unit Aviation. This is one of the smaller and more intimate units and consists of our worldwide renown consultancy brand NACO. You have a relevant background for a secretary/supporting role, or you have an affinity for this function due to another background, such as an administrative background. You are proficient in both Dutch and English at a high level; knowledge of other languages is a plus. You are familiar with Microsoft Office programs.
