Oversee daily office operations to ensure efficiency and productivity.
- Ensure the office environment and equipment are properly maintained and Decorating and constantly improving the office environment, making sure it always looks tidy and professional
- Maintain and order office supplies, including stationery and kitchen items and ensure the office is fully stocked at all times
- Arranging food & drinks during meetings with external and internal parties
- Coordinate facilities maintenance and repairs.
- Schedule and coordinate appointments with local authorities in the relevant countries
- Manage relationships with vendors, service providers, and landlord.
- Coordinate with landlords for lease agreements and facility-related issues for different company locations
- Arranging and organizing Company events for e.g. (Quarterly Townhall meetings, Year-end activities or sales meetings ) and plan arrangements for commuting.
- Organize and maintain files and records, both electronic and physical, handle office badges, gate tags and any other GA related tracking files. Ensure documents are easily accessible and properly archived.
- Managing company vehicles, including scheduling maintenance, arranging fuel cards and ensuring proper documentation.
- Prepared essential documents (e.g. employer statements)
- Managing and ensuring the efficiency of the HR tool, including updating and uploading policies and procedures
- Facilitated and supported seamless (pre)onboarding experience of new hires, including preparing workstations, coordinating IT setup, and providing necessary working tools.
- Coordinate and oversee the collection and organization of performance appraisal documents
- Prepare monthly HR reports as required
- Act as a backup for other positions during their absence to maintain seamless operations within the HRGA team.
- Perform any other relevant duties as assigned

Knowledge, skills, and attitude:

- Minimum level of education: University degree;
- Ability to work with different software systems;
- At least 2 years of relevant international General affairs work experience
- Systems' savvy;
- Excel skills, have excellent knowledge of spreadsheets and formulas;
- Excellent communication skills to converse with external parties and internal team members of all levels;
- Exceptional planning/organisational skills and being deadline oriented;
- Being a team player as well as being able to work independently;
- Fluency in English and Dutch
