**Operations & Systems Officer**

The Federation of European Microbiological Societies (FEMS) is a dynamic, mission-driven, not-for-profit organization dedicated to advancing microbiology for the benefit of society. With a growing coalition of 55 Member Societies from 40 countries, FEMS plays a vital role in fostering scientific excellence, supporting the microbiology community, and promoting knowledge dissemination in areas like health, energy, food, materials, ecology, and the environment. As we continue to expand our reach and impact, we are seeking a are looking for an enthusiastic colleague to ensure the smooth operation, maintenance, and coordination of FEMS’s IT infrastructure.

**About You**:
The Federation of European Microbiological Society is seeking an Operations & Systems Officer. This position involves managing hardware and software systems, troubleshooting issues, coordinating with internal and external stakeholders, and ensuring that IT systems run efficiently to support business operations. Crucially, you will co-ordinate the development of FEMS IT systems to ensure the organization is equipped to deliver on its ambitious Strategy from 2025. This includes driving development work on critical platforms such as the CRM, website, and online portals, shaping these systems to enhance FEMS’s mission and services. The role is both technical and administrative, requiring hands-on experience with IT systems as well as project management skills. You have a proven ability to work independently as well as collaboratively and successfully manage a range of internal and external stakeholders. You will report to the Governance & Operations Manager. An understanding of microbiology is not necessary for this position.

**Key Responsibilities**:

- Systems Management: Oversee the maintenance, accuracy, and security of FEMS organizational databases, including Customer Relationship Management (CRM) systems and other business-critical data platforms. Work closely with line managers to ensure the correct configuration and functionality of data systems that align with business processes. Generate and distribute reports based on CRM and other data system insights to inform business decision-making. Ensure system security by working with our IT service provider to manage FEMS firewalls, antivirus software, and security updates.
- Systems Development: Support the development of FEMS IT systems to align with the organization’s ambitious Strategy for 2025 and beyond, enhancing user experience and unlocking new possibilities. Collaborate with internal teams and expert external partners on various IT projects, implement innovative system upgrades, and continuously optimize performance. Champion robust data management practices and support staff with training.
- IT Support: Provide first and second-level technical support to staff, troubleshooting hardware, software, and network issues. Escalate complex issues to IT Service provider when necessary. Create and maintain user accounts, manage permissions, and ensure secure access to IT resources.
- Compliance & Best Practices: Ensure compliance with industry standards and internal IT policies, including GDPR data protection regulations. Continuously review and update IT systems and practices to align with industry best practices and evolving business needs. Identify opportunities to improve efficiency and security through system enhancements and optimization.
- Training & Development: Train staff on new IT systems and security protocols. Stay updated with the latest trends in IT systems, software, and security, and recommend improvements to leadership.

**Essential Requirements**:

- At least 2-4 years’ experience in a similar position.
- An excellent and open communicator able to manage relationships with people from many cultures, ages, backgrounds, nationalities, and perspectives.
- Experience in maintaining and developing CRM and Drupal/WordPress based websites as well as Office 365 environment as admin.
- Proficient in the use of Microsoft Office software (Excel, Word, PowerPoint, Outlook).
- Excellent fluency in written and spoken English.
- Valid work permit and already living in the Netherlands.

**Desirable Skills**:

- Experience working with Open source based CRM and/or websites.
- Ability to work independently, think creatively and solve problems.

- Salary: a starting gross salary range of EUR 3.350 - 3.750 per month (based on a full-time work week: 36 hours), depending on experience.
- Duration: an initial contract for 12 months from the commencement of employment, with an option of extension.
- Hybrid working: we work at least 2 days per week at the office.

- Holiday allowance: 8% (paid in May).
- Time off: 29 holidays per year of which 5 days are when the office is closed at the end of the year.
