We are seeking a highly skilled Virtual Executive Assistant to provide comprehensive administrative and operational support to our leadership team (CEO, COO, and CTO). In this role, you will act as a key partner, enabling the management team to focus on strategic goals by managing schedules, coordinating communication, and assisting with high-priority tasks.

Key Responsibilities
  • Executive Support:
    • Proactively manage and optimize the calendars of the CEO, COO, and CTO, including scheduling meetings, resolving conflicts, and aligning across time zones.
    • Organize and prepare agendas, presentations, and follow-up materials for leadership meetings.
    • Handle email management, including drafting responses, prioritizing critical items, and ensuring timely follow-ups.
  • Operational & Project Assistance:
    • Track and follow up on management team tasks, ensuring key deadlines and deliverables are met.
    • Conduct research, analyze data, and prepare reports or summaries for decision-making.
    • Assist in project coordination, helping to streamline communication and monitor progress.
  • Communication & Liaison:
    • Act as a central point of contact for internal teams and external stakeholders, ensuring effective communication and coordination.
    • Handle confidential information and maintain discretion in all communications.
  • Travel & Event Management:
    • Plan and coordinate travel arrangements, including flights, accommodations, and itineraries for conferences and client meetings.
    • Assist in organizing company events, meetings, or offsites, including logistics and scheduling.
    • Assist with time logging and other internal procedures.
    Requirements

Qualifications:

  • 3+ years of experience as an executive assistant, virtual assistant, or similar role supporting senior executives.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication skills in English.
  • Proficiency with tools such as Google Workspace (Docs, Sheets, Calendar), Slack, and project management platforms (e.g., Jira, Confluence, Trello).
  • High attention to detail, with the ability to prioritize tasks in a fast-paced environment.
  • Ability to work independently, demonstrating initiative and sound judgment.

Preferred Skills:

  • Familiarity with the tech or software development industry.
  • Experience supporting C-level executives in a remote or international context.
  • Understanding of time zone management and global team coordination.
