Job Title: Secretary/Administrative Assistant

Job Introduction

We are seeking a skilled Secretary/Administrative Assistant to work on our Customers Site (ESA-ESTEC) in the Netherlands. This is a fantastic opportunity to get into one of the most sought-after space agencies in the world. Please note that this is a fixed-term contract.

Main Responsibilities

  • Organizing the schedule of the Head of the Estates and Facilities Management Division, arranging appointments, meetings, visits, and missions.
  • Editing (in English) documents, memos, and presentations, and drafting memos, letters, intranet communications, and emails.
  • Taking minutes of meetings and tracking the progress of actions.
  • Collecting input from the 3 sections of the division and preparing reports.
  • Composing and typing correspondence, documents, and spreadsheets using office automation tools.
  • Arranging missions for division staff.
  • Managing leave data (vacation, sick leave, etc.) for divisional staff and entering details in the SAP system, as well as recording the leave of contractor staff.
  • Maintaining a filing system in support of the various activities of the Estates and Facilities Management Division.
  • Coordinating and following up on deadlines in liaison with the Department's secretary.
  • Supporting the organization of divisional meetings and events.
  • Managing stationary orders and related invoice control.


Successful Candidate

  • Ideally, the candidate should have completed vocational education in the secretarial domain.
  • 2 years of relevant experience.
  • Secondary education with proven skills in administrative and/or secretarial activities.
  • He/she must be highly proficient in the use of Microsoft Office software.
  • Proficiency in ESA IT tools is an asset.
  • Knowledge of SAP tool can be considered an asset.
  • The candidate is expected to demonstrate excellent organizational skills and maintain pleasant working relationships in an international environment, even under high pressure.
  • Proficiency in the English language, both written and spoken, is the official requirement for this position.
  • Knowledge of the French language is considered an asset, and while Dutch is not required, it can also be considered an asset.
  • Candidates must be eligible to work in the EU.
