Business Office Financial Controller

The Business Office Financial Controller plays a pivotal role within the Finance department, directly reporting to the Business Office Manager. This team is tasked with overseeing the accounting and administrative functions related to all financial transactions in accordance with Dutch legal standards. The primary objective of this controller position is to ensure that the financial administration operates seamlessly and delivers high-quality financial data for the school's management.

Key Responsibilities:

  1. Coordination of Financial Closures:
    1. Oversee the closing processes in collaboration with team members (Accounts Receivable, Accounts Payable, prepaid expenses, deferred income, bank reconciliations, and accruals for revenue and costs).
    2. Enhance closing procedures alongside the Finance Director and establish a regular rhythm for the department.
    3. Manage the closing of tangible fixed assets within the AFAS system.
    4. Oversee the resolution of question accounts.
    5. Actively engage in monthly closing activities and monitoring of various Balance Sheet and Profit & Loss accounts.
    6. Conduct Balance Sheet oversight: review reconciliations of all General Ledger accounts monthly and maintain control over suspense accounts.
  2. Debtors Credit Management:
    1. Monitor collections and cash flow: review and reconcile allocated receipts.
    2. Ensure accurate revenue recognition by appropriately allocating income from additional school activities.
  3. Accounts Payable Management:
    1. Review and oversee payment batches.
    2. Regularly assess issues related to the scanning system (Whitevision).
    3. Assist in the implementation of a new Purchase to Pay (P2P) system.
    4. Support the integration of order management in AFAS in collaboration with the IT Business Analyst.
  4. Petty Cash Management:
    1. Document and process cash payments and expenses.
    2. Maintain an adequate petty cash balance.
    3. Ensure the secure storage of petty cash.
  5. Financial Reporting:
    1. Assist in tracking expenses and their correct allocation to cost centers: Operational Budget and Capital Expenditures.
    2. Prepare service calculations for CDLT in consultation with the Events Coordinator.
    3. Contribute to the development of financial reporting from AFAS based on the mapping of all General Ledger accounts, covering both Profit & Loss and Balance Sheet.
    4. Support Cash Flow movement reporting and planning in conjunction with the Finance Manager.
  6. Audit Coordination:
    1. Facilitate and support year-end financial audits.
    2. Coordinate requests across various departments.
  7. General Financial Accounting:
    1. Conduct general accounting tasks, including fixed assets management, archiving, and responding to daily inquiries.
    2. Assist in the development of the accounting procedures and principles handbook.
    3. Support the Building and Maintenance team.
    4. Maintain contracts within the archive software Xtendis and update the contract database.
  8. General Support:
    1. Provide assistance to employees, parents, and students with various inquiries, ensuring timely, polite, and professional responses.

Qualifications:

  1. Education: Degree at HBO (college level) or higher.
  2. Preferred Education: Degree in finance at HBO (college) level.
  3. Experience: Minimum of 5 to 7 years in financial controlling, auditing, or overall finance administration, ideally in an international context.
  4. Skills: Proactive, hands-on approach, capable of working independently, with a strong service orientation and attention to detail. Culturally aware and a genuine team player. Proficient in modern IT tools.
  5. Language Proficiency: Fluent in English and Dutch, both spoken and written, with a solid understanding of Dutch accounting laws and regulations. Familiarity with finance best practices and excellent communication skills.
  6. Technical Skills: Experience with accounting software (AFAS) and proficiency in MS Office (especially Excel) and Google Sheets.
