About This Role

As a Front Office Associate at Emerson, you will play a key role in ensuring the smooth operation of our office. You will serve as the first point of contact for visitors and be responsible for providing administrative support to our staff.

Key Responsibilities:

  • Manage the switchboard for Rijswijk and Breda locations, including maintaining an updated calling list.
  • Handle mail, packages, and administrative tasks such as hotel and taxi reservations.
  • Be responsible for maintaining the Coffee Corner and ordering office supplies, flowers, and other essentials.
  • Coordinate guest and employee badges, as well as parking lot access.
  • Plan and coordinate meetings, including scheduling meeting rooms and handling logistics.
  • Manage pool cars and rental car orders in collaboration with procurement.
  • Handle visa-related matters, including requests, invitation letters, and guarantee letters.
  • Collaborate with the Office Manager on personnel events and other office-related tasks.
  • Post content on the intranet and lead office communications, including mailbox administration.
  • Work closely with various departments (Catering, Facility, Marketing) on tasks like meeting arrangements, security, and gift distribution.
About You

We are looking for a highly organized and communicative individual who can balance multiple tasks and prioritize responsibilities effectively. You should have excellent verbal and written communication skills in Dutch and English.

Requirements:

  • Verbal and written communication skills proficient in Dutch and English
  • Secretary degree (MBO-4 level) or equivalent level in a related field
  • Computer literate with MS Office (Word, Outlook, and Teams)

Preferred Qualifications:

  • Verbal and written communication skills proficient in French
  • Proven experience in a customer-facing job, office assistant, or equivalent position is a plus
