Administrative Support Specialist

Job Summary
Shimano is seeking an experienced Executive Assistant to provide administrative support to three members of the Executive Committee. The successful candidate will be responsible for coordinating activities, handling administrative tasks, and providing key information to inform business decisions.
Key Responsibilities
- Schedule appointments and coordinate arrangements for meetings, events, and travel itineraries.
- Organize and maintain accurate administration of files, records, and correspondence, ensuring compliance with regulations and standards.
- Manage and update relevant databases and reporting tools to keep information current and accessible.
- Ensure timely and accurate communication from management, including preparing correspondence before and after meetings.
- Prepare special reports by collecting and summarizing data as requested by the management team.
- Conduct quality checks to ensure that departmental processes and outputs function effectively.
Requirements
- Experienced assistant, preferably in an international environment (Japanese company is a plus).
- A proactive approach with the ability to anticipate needs and act independently.
- Strong communication skills, both written and verbal.
- Highly organized with a knack of multitasking and managing priorities calmly under pressure.
- Proficiency in English is essential, Dutch is a plus.
- Familiarity with Microsoft Office applications, such as Outlook and Excel.
