Purpose

As full time Administrative Assistant, you will provide secretarial and administrative support to our senior management. Using technical and business vocabulary and with a detailed knowledge of our organisation's operations, procedures and personnel, your role is instrumental in supporting our senior leadership members of our executive team to be their most productive.

In this dynamic role, you will make independent decisions regarding planning, organizing and scheduling work, all within established guidelines. You will collect, compile and analyse relatively complex data and information and compose straightforward written descriptions/summaries of the results.

How can you help us?

Provide high-level administrative support to four international leaders with diverse responsibilities and schedules.

Manage the calendars for the several international VPs, coordinate internal and external meetings, and ensure alignment across multiple time zones.

Manage and coordinate travel schedules for executive including international travel, managing itineraries, accommodations, and travel documentation while adhering to company travel policies.

Compose and proofread letters and documents.

Serve as a point of contact and liaison for internal teams, external partners, and global stakeholders.

Coordinate meetings and conference calls, including venues, transportation, food, materials preparation and meeting notes transcription.

Exercise discretion and independent judgment in analyzing and summarizing complex information requests/reports and determining complex trends.

Assist at meetings as requested or needed.

Are you a match?

At least 5 years' experience of personal/administrative assistance experience supporting management in an international organisation.

Ability to structure and manage complex schedules and workloads.

Excellent command of the English language (advanced skills, both spoken and written).

Intermediate level skills in Microsoft tools

Available for full time with a minimum of 3 days working from our European Headquarters in Utrecht.

To be successful in the role you are required to have excellent communication skills with diverse internal and external stakeholders, hands-on mentality with strong interpersonal skills and a service-oriented mindset.
