Special Notice:

A Short-Term Appointment is used to recruit staff to meet short-term needs. The duration of this assignment is provided above. Any extension of this post is subject to the decision of the incumbent of the established post to extend or return from their current leave. The maximum duration of a short-term appointment including extensions shall not exceed 12 months.

A Short-Term Appointment does not carry any expectancy, legal or otherwise, of renewal and shall not be converted to any other type of appointment.

Due to the short-term nature of the assignment, the ICC reserves the right to make an appointment at one grade lower than that stated in the vacancy with a modified job description.

A current ICC staff member who is holding a fixed-term appointment may apply for any short-term position. Where a current ICC staff member is selected to a short-term position, he or she will be temporarily assigned to the position in line with section 4.10 of ICC/AI/2016/001. GS-level posts are subject to local recruitment only.

The terms and conditions of service for staff members appointed under a short-term appointment are governed by ICC/AI/2016/001.

Organisational Context The Secretariat (SASP) provides the Assembly and its Bureau and subsidiary bodies with administrative and technical assistance in the discharge of their functions under the Statute. The Secretariat provides substantive servicing of the Assembly and its subsidiary bodies. The substantive servicing functions include, inter alia, providing legal and substantive secretariat services, such as the provision of documentation, reports and analytical summaries, and supplying advice within the Secretariat on legal and substantive issues relating to the work of the Assembly. Duties and Responsibilities Under the supervision of the Director of the Secretariat of the Assembly and in close collaboration with the Special Assistant to the Director (P-2), the incumbent will perform the following tasks and responsibilities: 
1. Assist to plan, organize and coordinate the provision of the technical servicing needs of the Assembly of the States Parties, its Bureau and other subsidiary bodies, as appropriate. The services to be provided, within the respective budget allocation and timelines, include: security, interpretation, virtual/hybrid meetings, registration and badges, seating arrangements, procurement, catering, hospitality, supplies, information technology, copiers, etc. When sessions take place in The Hague, also serve as a conference room officer, with responsibility for overall management and logistical coordination of the servicing of the plenary meetings; 
2. Assist to plan and prepare the lists of speakers and if necessary video submissions at the annual Assembly session for the general debate and thematic plenary sessions, keeping meticulous records ensuring the information regarding the speakers is correct, speeches are collected and posted on the website; 
3. Assist with preparation of the ASP Journal which lists all official and unofficial meetings during ASP sessions (including side events and exhibits), ensuring proper scheduling and set up of the rooms for official and informal meetings as well as side events while preventing any overlaps. Manage daily ASP Journal updates, overseeing its distribution and posting on the ASP website. Liaising with various stakeholders providing information about setting up of the side events, room distribution, etc. During the sessions in New York, liaising with the UN Journal for inclusion of the ASP official meetings;
4. Assists with preparation of the ASP Handbook for Participants;
5. Assist with NGOs accreditation and access during the Assembly sessions in The Hague and New York;
6. Assists with any protocol related issues regarding the visa and liaising with the host State regarding participation during the ASP session in The Hague, if applicable; 
7. Assist with coordination of travel arrangements for the beneficiaries of the Trust Fund for the participation of least developed countries and other developing States during the ASP sessions; 
8. Support the Director in key administrative and protocol matters, such as those concerning translation and interpretation services; coordinate all requisite steps to ensure that Assembly and its subsidiary bodies have proper protocol in place; 
9. Oversee and assist in the preparation of media guidelines, access of media during the ASP session, and accreditation and issuance of badges at Assembly sessions; 
10. Assist with organizing official trips of the Director and the President of the ASP, when required; 
11. Draft various correspondence such as notes/letters related to the Secretariat mandate; 
12. Maintain the archives and files of general information on sessions and meetings and complete various forms concerning meetings, assist with preparation of SOPs, contact lists and other necessary files to improve the functioning of the Secretariat; 
13. Assist with structure and presentation of the website of the Secretariat as well as the ASP Extranet; 
14. Assist with ad-hoc tasks, as required by the Director, such as covering meetings when other colleagues at the professional level are not available or when the workload so requires. 
Essential Qualifications Education An advanced University degree in business or public administration, conference management, international relations or other relevant field, is required. A first level university degree in combination with two additional years of qualifying experience is accepted in lieu of the advanced university degree. Experience A minimum of two (2) years (zero (0) years with an advanced level university degree) of relevant professional experience is required. Experience in conference servicing in an international organization would be considered an asset. Knowledge, Skills and Abilities Excellent interpersonal skills;

Knowledge of Languages Proficiency in one of the working languages of the Court, English or French, is required. Working knowledge of the other is desirable. Knowledge of another official language of the Court (Arabic, Chinese, Russian or Spanish) would be considered an asset.
