What you do as NACO Business Unit Secretary

As NACO Business Unit Secretary, you proactively support the unit director with the execution of secretarial, organizational, and administrative tasks. You are customer-oriented, take responsibility, and are capable of independently formulating and executing your contribution to the management team. You are part of the Management Team (MT) and act as their sparring partner. The position offers you plenty of room to develop your own initiatives.

You have a sense for the commercial setting in which we work and can contribute well by making presentations attractive, for example. In addition, you work on the following: Proactively support the unit director by prioritizing, planning, and coordinating her appointments; Preparing MT meetings and planning and supporting the Business Unit MT; Reading, assessing, and when applicable, responding to and archiving correspondence via email; Organizing and coordinating meetings and consultations. You take care of the necessary facilities and logistics, compile agendas, record decisions and actions, collect and distribute documentation, receive participants and guests, follow up on action points, and make use of meeting and conference technology; Delivering a result-oriented and professional contribution to the production of documents, monitoring deadlines, and performing checks on completeness and authorization; Maintaining contacts within the external network; Working efficiently with the latest software and providing expert support for questions about supporting software applications and business and project processes; You collaborate with the other secretaries in the NACO support team, help each other with your work, and jointly cover all support tasks. Organizing foreign trips, such as booking flights, or assisting with visa applications; Supporting the two Business Development directors.

As Business Unit Secretary you will become part of the Business Unit Aviation. This is one of the smaller and more boutique units and consists of the worldwide renowned consultancy brand NACO, Netherlands Airport Consultants. Our highly motivated team delivers full spectrum, integrated engineering-, strategic- and management consultancy services related to airport and aviation development all over the globe. You will be based in The Hague area (new office in Delft from January 2025), from which we run our aviation business.

What you bring

You have a bachelor level of working and thinking and extensive relevant experience as a secretary/personal assistant. Additionally, you recognize yourself in the following:

Excellent verbal and written communication skills in English. Knowledge of other languages is a plus. A sense for the dynamics of the business and customer relationships; Good ICT skills and a talent for quickly mastering new developments in the field of ICT tools and software applications. Proficient in working with MS Office, CRM packages, and in making presentations; Able to handle confidentiality; You want to work 32-40 hours per week.
