As the Events & Groups Executive at Rosewood Amsterdam, your day is a blend of strategic planning and hands-on coordination. You begin by reviewing new inquiries, promptly responding to potential clients with professionalism and attention to detail. Your day progresses with drafting contracts, managing ongoing events, and collaborating with various departments to ensure seamless execution. You might conduct a site visit with a client, making sure all their needs are met and addressing any last-minute changes with ease. Whether you’re attending a BEO meeting or preparing daily reports, each task is aimed at creating exceptional experiences for our clients and guests. By the end of the day, you’ll reflect on how your meticulous planning and passion for events have contributed to making Rosewood Amsterdam the preferred choice for hosting events and groups.

By developing innovative strategies and comprehensive business plans, the team works to increase revenue across various business verticals, including room occupancy, event spaces, leisure facilities, and our exquisite restaurants. The department is central to the success of the property, driving profits while maintaining the highest standards of luxury and service.

**Job Summary**

The Events & Groups Executive plays a pivotal role in driving event and group revenue for Rosewood Amsterdam. This role demands a detail-oriented individual with a passion for event planning and a commitment to exceeding the expectations of our clients and guests, ensuring Rosewood Amsterdam is their preferred choice for hosting events and groups. You will manage the full event lifecycle, from initial inquiry to post-event evaluation, collaborating closely with other departments to achieve the hotel’s commercial targets.

**Key Responsibilities**
- ** Event and Group Management**:

- Accurately qualify all event details, including dates, times, function space requirements, expected attendance, budget, and client expectations.
- Prepare contracts and addendums for events and groups, ensuring all details are accurate and clear.
- Manage the entire event and group lifecycle, from inquiry to post-event evaluation and account settlement.
- Maintain precise records in Amadeus Delphi and Opera, adhering to all administrative standards.
- **
Collaboration and Communication**:

- Compile and distribute Banquet Event Orders (BEOs) and group summaries to all operating departments.
- Attend weekly BEO meetings to finalize event details and address any challenges.
- Work closely with the Sales, Revenue, Reservations, and Marketing teams to align on commercial targets. Organize and conduct site visits, meeting with conference organizers before and after events to confirm details.
- ** Client Relations and Flexibility**:

- Remain flexible to accommodate changes presented by clients regarding their planned or unplanned activities. Offer professional, sincere, friendly, and engaging service to all clients and guests.
- ** Administrative Tasks**:

- Prepare daily and weekly reports, signage, menu cards, and other necessary stationery.
- Complete other duties as required by business needs.

**Critical Skills & Qualifications**
- ** Education**: Bachelor’s degree or diploma in hospitality or event management.
- ** Experience**:

- Minimum of one year of experience in a similar role, preferably in a five-star luxury environment. Experience working with Amadeus Delphi fdc, Opera (Cloud), and Microsoft Office is highly desired.
- ** Skills**:

- Exceptional negotiation and presentation skills.
- Highly organized, detail-oriented, and able to solve problems effectively in a fast-paced environment.
- Excellent communication skills in English; Dutch is preferred.
- Flexibility to work outside regular office hours and weekends.

**Legal Requirements**

A valid work permit for the Netherlands is required to be considered for this position.
