About the Role
We are seeking an experienced Documentalist to join our team at the esteemed ESA-ESTEC site in the Netherlands. As part of our Multi-Directorate Documentation and Data Management Support Service, you will play a key role in document management and control, as well as administrative tasks supporting Project Management Support Offices and Organisational Units within ESA Directorates.

Key Responsibilities:
  • Support the preparation and coordination of ESA final reports, ensuring correct document versioning and archiving.
  • Coordinate, prepare, and publish recurrent and non-recurrent documents prepared by ESA Executive for the Programme Board.
  • Perform proof reading, formatting, and editing to ensure documents are structured, written, and formatted consistently.
  • Produce or modify document templates to ensure compliance with GCDs or DRDs for recurrent documentation.
  • Plan, coordinate, and track document readiness for submission to ensure timely delivery of formal documents.
  • Generate documents, including flow-charts and graphics, and perform proof reading, content compilation, and editing.
  • Support coordination and publication of documents prepared by ESA Executive for the Programme Board depository, ensuring security and safeguarding of content.
  • Support approval process follow-up of documents to AC and IPC, confirming documents are structured, written, and formatted consistently.
  • Establish and maintain archives of documents.
  • Support coordination and finalization of document data packs to be issued to EC, International Partners, or Member States.

Requirements:
  • Bachelor's degree from a recognized institution or equivalent qualification in Business Administration or Communications.
  • At least 4 years of relevant work experience in a similar role.
  • Broad knowledge to navigate complex institutional environments and analyze issues within ESA, EU, and the relevant industrial landscape.
  • Experience in documentation management and communication.
  • Good organizational skills.
  • Ability to handle classified documentation.
  • Personal Security Clearance eligibility and willingness to apply from an EU country.
  • High degree of autonomy and ability to deliver under time pressure.
  • Excellent interpersonal and communication skills, with tact and discretion.
  • Proficiency in using Agency information systems and tools.
  • Fluency in English, both written and spoken.
  • Knowledge of another ESA member-state language is an asset.
  • Candidates must be eligible to work in the EU.
