Job Summary:

We are seeking a highly qualified Operations Coordinator fluent in Dutch and English to work on the frontline and fill an important role of being a liaison for our 3,500+ members throughout The Netherlands and Flemish Belgium.

Key Responsibilities:

  • Ensure that membership registrations are up to date for current members, including processing applications, renewals, and termination.
  • Distribute membership packages to new members.
  • Build and foster relationships with our members and answer questions from our member community.
  • Provide members with resource materials for use in the field.
  • Ensure that members are celebrated by sending them their member anniversary gift and/or certificates.
  • Make member badges for distribution.
  • Support with membership social media campaigns.
  • Ensure that training sessions are recorded and archived.
  • Provide leadership teams with the necessary resource materials to facilitate their roles within the 150+ chapters through The Netherlands and Flemish Belgium.
  • Support in the preparation of and be available on location during our annual conference.
  • Create and distribute membership data reports to stakeholders.
  • Create and distribute member surveys to stakeholders.
  • Process invoices, credit and cancellations.
  • Act as liaison with the collection agency.
  • Answer the telephone and welcome visitors on location.
  • Organise business travel and meetings on and off location.
  • Maintain agenda appointments.
  • Maintain stock inventory.
  • Sort incoming / outgoing post.
  • Take minutes during leadership meetings, when necessary.

Requirements:

  • Detail-oriented, organized with outstanding verbal, written, multi-tasking, and presentation skills.
  • Must be fluent (reading, writing, speaking) in Dutch and English.
  • Customer focused and desires to build long term relationships.
  • Ability to find solutions and deliver results within a rapidly changing, entrepreneurial, technology-driven culture.
  • Ability to ask core probing questions to troubleshoot, research, and create solutions.
  • Utilize available resources, apply sound judgment, and interpret policies.
  • Possess an attitude of flexibility and adaptability that matches our growth pace.
  • Work well independently as well as with a team to successfully achieve company objectives.
  • Ability to shift priorities as needed to resolve or escalate all outstanding issues.
  • Proficient computer/mobile app knowledge and skills including Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).
  • Ability to travel to local chapters and conferences, when necessary.
  • Bachelor's Degree is an advantage.
  • 2-5 years' relevant professional administrative experience.
  • Experience within an international multi-cultural organization setting.
