About the Role

We are seeking a highly skilled and organized Administrative Assistant to join our team at the European Space Agency's European Space Research and Technology Centre (ESTEC) in the Netherlands. As a key member of our team, you will provide exceptional administrative and secretarial support, ensuring smooth operations and efficient coordination across all ESA activities.

Key Responsibilities
  • Day-to-Day Support: Provide day-to-day support to Unit personnel regarding business travel arrangements, leave management, coordination of training, and other administrative tasks.
  • Correspondence and Documentation: Analyze incoming correspondence and documentation, manage distribution of outgoing correspondence and documentation, and maintain accurate records.
  • Logistics and Administration: Provide various logistic support to the Unit, including arrivals and departures of Unit personnel, ordering of office supplies, and maintenance of stationary.
  • Meetings and Events: Organize agenda and meetings, book rooms and resources, and maintain documents libraries for the Unit.
  • Documentation Management: Maintain and update documentation, including change logs, distribution lists, and issue information notes.
  • Actions and Minutes: Maintain and follow up on actions lists for the Unit and take minutes of coordination meetings.
  • Events and Publications: Participate in the organization of events, such as workshops and conferences, and prepare and publish internal and external documents.
  • Data Collection and Analysis: Collect, extract, and analyze data from various corporate applications and internal sources.
Special Requirements
  • Risk Register: Maintain the risk register and ensure accurate and up-to-date information.
  • SharePoint Site: Administer the SharePoint site and ensure smooth operations.
  • Configuration Management: Set up a configuration management system for documents produced by the Division.
  • Presentations: Prepare presentations in PowerPoint based on inputs provided by experts.
  • Confidential Information: Handle confidential and sensitive information with discretion.
  • Document Formatting: Proofread and format documents for the Executive Board and ESA governance bodies.
  • Missions Schedule: Maintain and update the missions schedule for ESA Council.
  • Change Management: Support the PPS Project Manager in change management and logistical tasks.
Requirements
  • Vocational Degree: Hold a vocational degree or equivalent.
  • Work Experience: Have at least 2 years of relevant work experience.
  • Office Automation Tools: Be highly proficient with modern office automation tools, particularly Microsoft Office suite and electronic mailing.
  • ESA Environment: Have familiarity with the ESA working environment in a similar position.
  • SAP and Prisma: Have knowledge of SAP and Prisma, which can be an asset.
  • Interpersonal Skills: Possess excellent interpersonal skills, high organizational and communication abilities, and be comfortable working in a diverse and multinational team environment.
  • Language Skills: Be proficient in the English language, both written and spoken, which is the official requirement for this position. Knowledge of French and Dutch languages is considered an asset.
  • Eligibility: Be eligible to work in the EU.
