For the European Medicines Agency we are looking for a Data Assistant for the Administration & Corporate MGMT Division; Finance Department; Procedures, Revenue and Expediture.
As Data Assistant you will assist the transformation of the Finance Department (A-FI) into a modern, data-driven unit. The successful candidate will leverage their data science skills to deploy AI and seek opportunities for automation in collaboration with the Finance Business Partners – pivoting the workforce of A-FI towards more value adding tasks in the arena of business partnering and providing decision support to the authorising officer.
Role specific duties & responsibilities:
- Coordinate the initiation of all financial transactions and act as verifying agent on workflow of procedure related to revenue and expenditure, ensuring correctness in accordance with related regulations and implementing rules;
- Provide support on projects, initiate and manage process improvements with the authorisation and under the direction of the Line Manager;
- Responsible for managing the quality of data and its reconciliation between Core Business Applications and the financial systems and interfaces;
- Handle internal and external financial regulatory, procedural and technical issues and related correspondence;
- Extract statistics and prepare regular and bespoke analysis and statistics on processing of financial transactions;
- Coordinate the drafting of the annual and multiannual budget revision and forecast applying environmental, risk and financial analysis in liaison with management;
- Identify, investigate and provide first line support on technical issues affecting processing of financial transactions. Provide business support to internal project managers and/or technical managers on identification of issues and/or monitoring of data and fee related systems;
- Perform the risk-assessment and the ex-post verification in accordance with the financial regulation and draft the ex-post report;
- Support to assigned external and internal financial audits including the European Court of Auditors (CoA) assessments;
- Analyse, monitor, correct and verify data and systems for correct recovery of fees and related payments.
Role specific duties & responsibilities:
- The successful candidate will continue the work initiated in December 2023, focusing on the use of Large Language Models to accelerate and improve the evaluation of tender documents, improve and develop the Finance Departments reporting (using power BI, R and python) and digitalise and further automate verification and data manipulation activities in the revenue service (using Azure, power BI, RPA-solutions and large language models).
In particular, a Data Assistant will:
- Liaise closely with the Service’s technical support on identification of issues, change requests for improvements and/or monitoring of SAP, SAP Interface and Core Business Applications (CBAs) through IT Service Desk Portal;
- Liaise with the relevant colleagues across the Agency for the tracking and prioritisation of unresolved issues, Change Requests and system improvements with the aim of increased efficiency;
- Liaise closely with the relevant colleagues from the scientific areas for clarification related to financial transactions;
- Report to contract managers and operational initiating agents on planned versus actual activities, and liaise with them on background information on remaining planned activities, items and expenditure for the year;
- Present result to manager and/or sub/delegated authorising officer and advise on proposed and/or requested reinforcement, appropriations and/or on year-end closure information.

- A level of post-secondary education attested by a diploma,
or
- a level of secondary education attested by a diploma giving access to post-secondary education, and appropriate professional experience of at least three years
Field of study:
Business administration, finance, economics, statistics, accountancy or information management.
Experience:
- Up to 6 years of full time relevant professional experience.
- Experience in applying large language models
- Experience in working in a finance department
- Experience working for the European Union
