Within ADM we are currently looking for a Corporate Services Office Admin who wants to join us part-time (28-32 hours per week). Together with the other secretariat employees, you are responsible for our international office in Amsterdam.

Your Responsibilities

Manage the reception and front of house function, ensuring high standards of customer service at all times and perform reception duties including greeting visitors, answering phone calls, emails and packages Identify and drive actions and initiatives to strengthen ADM’s culture on site Responsible managing the floorplan Owner of internal communication to ADM colleagues on site Managing stationery and consumables stock, ensuring regular stock takes are completed and sufficient stock maintained and ordered Drive key on-site (social) events such as ADM global initiatives, (town hall) meetings, and celebrations Provide support to the local management team, booking travel and accommodation and arranging events as required Partner closely with HR to manage access badge distribution and the timely reporting of any deviations (unreturned or lost badges) to prioritize the location security Updating and maintaining the location safety maintenance schedule and always prioritizing health, safety and security within the office environment for all individuals, internal and external Managing office admin (incl. manuals etc.) and ensuring efficiency and performance Managing facilities requirements within the office environment Coordinating sub-contractors, external vendors, and building management such as confidential paper shredding services, window cleaning, office cleaning and ad hoc services such as maintenance, etc. Identify opportunities for process and office management improvements Execute against office policies and procedures, and ensure they are implemented appropriately such as clear desk policy, safety policy (BHV) etc. Purchase orders and invoice handling in line with company procedures and timelines Your Profile 3+ years’ experience in an office management or PA role in a professional environment is essential Proficiency in the Dutch and English languages A strong sense of service and customer focus Strong communication skills and a real team player   Friendly and welcoming face of the company Flexibility, proactivity and a positive can-do mentality Ownership and stewardship of the location with a continuous improvement mindset Independent and self-starter Focus on Belonging, Diversity & Engagement Drives continuous learning opportunities Proficient IT skills including the use of Microsoft Office, and the ability to learn new systems
