With production and warehouses in various facilities in both Europe and Asia, the flow of goods is managed by the team from our Head Office in Naarden. For this fun, dynamic, and entrepreneurial international team made up of 11 nationalities, we are looking to add a talented team member in the role of
**CUSTOMER OPERTATIONS & LOGITICS ASSOCIATE**
**(TEMPORARY 3-6 months)**
These are exciting times. For the world as a whole and for IBG in particular, as we have been launching our new brands. The brands will be sold through different channels, gradually adding to the workload to our back office. Therefore, we are seeking an energetic and committed full-time colleague to support all brands in the business. In this role, you will process orders, communicate directly with our customers, handle any issues that occur in the process, and ensure smooth operations within our logistics framework.
**RESPONSIBILITIES**
**Customer Service**:
- Process customer orders and shipments in operational IT system.
- Answer requests for information from customers on orders, production dates, shipments, invoices, payments, etc.
- Answer requests from factories to check documents, shipping instructions, freight forwarding.
- Maintain customer records and article database.
- Handle (product) complaints.
- Update order status and communicate to customers on weekly basis.
**Operations**:
- Place sales orders and purchase orders.
- Assist in the shipment process, from approving draft shipment documents from factories, entering invoice information and ensuring all export documents are in line with our customers’ requirements to making sure original documents from factories are correct and sending final shipment documents to customer per DHL.
- Create shipping instructions with requirements per customer/ country/ customs.
- Assist in managing product data in operational system, like creating and managing labels and barcodes, description, sizes, colours, pictures, etc.
- Assist in the process that all sample products arrive at our customers on time in full.
- Process orders efficiently through our 3PL warehouses and collaborate closely with the Operations and Logistics Specialist to enhance processes continually and achieve operational efficiencies within our 3PL warehouse.
**QUALIFICATIONS**
- MBO level 4 or higher level of thinking
- Plenty of working experience, preferably in the field of customer service, (order) administration, logistics with an understanding of the supply chain/ logistics process
- Excellent written and verbal communication in English; preferably also in Dutch (office location).
- Computer literate, with strong Microsoft Office skills and good working knowledge of Excel.
- High level of Numeracy.
