About the Role

We are seeking a highly skilled and organized individual to join our team as a Space Operations Coordinator. As a key member of our Financial Operations Section, you will play a crucial role in supporting our client, the European Space Agency (ESA).

Key Responsibilities
  • Travel Claim Processing: Certify and calculate individual travel claims against supporting vouchers and invoices.
  • Settlement Calculation: Calculate the settlement of the business trip based on the rules of the agency.
  • Data Entry: Enter the settlement data into the customer's database.
  • Document Management: Filing the vouchers, invoices, and other supporting documentation.
  • Invoice Processing: Receiving and checking invoices from travel agents and car hire agents and entering the data into the customer's database.
  • Reconciliation: Reconciling corporate credit card execution and ticket discrepancies.
  • Error Rectification: Rectifying Ticket error list and statistical projection.
  • Payment Proposal: Payment list proposals checking and execution.
  • SAP Uploading: Uploading invoices and credit notes into SAP.
  • SAP Error Rectification: Rectification of SAP-posting error log.
  • Reporting: Creation of statistics and reports as requested.
  • Ad-Hoc Tasks: Other ad-hoc tasks as requested by the Team Manager.
Requirements
  • Education: A Bachelor's degree in a relevant field.
  • Experience: At least 2 years of relevant work experience.
  • Customer Service: Experience in providing a customer-oriented service with an eye for processing and workflow.
  • Financial Knowledge: Knowledge of financial accounting and experience in Accounts Payables.
  • Technical Skills: Familiarity with modern office automation tools and techniques, in particular, Microsoft Office or equivalent, as well as customized database and software applications.
  • SAP Experience: Experience as a user of SAP and preferably experience with/knowledge of SAP Concur.
  • Organizational Skills: Capacity to identify priority actions and to handle high workloads.
  • Interpersonal Skills: Excellent interpersonal skills are needed, together with a high degree of organizational and communication abilities to be client-focused.
