KEY RESPONSIBILITIES:

In the role of Team Assistant, you will primarily support our Technology Team Leads. This is a unique opportunity to shape a new position within Optiver, allowing you to implement your ideas and make a significant impact.

Your responsibilities will include:

  • Coordinating activities for the technology team leads and the broader technology department, collaborating with global teams.
  • Managing the calendars of the Technology Team Leads with precision.
  • Organizing travel arrangements, including flights and accommodations.
  • Preparing presentations and documents for meetings.
  • Completing monthly expense reports efficiently.
  • Assisting with HR-related administrative tasks.
  • Acting as a representative for the technology team leads during their absences, ensuring they are informed of critical updates.
  • Overseeing tasks assigned to direct reports, ensuring high-quality execution.
  • Communicating with internal and external counterparts, particularly in the US and Asia.
  • Organizing internal and external events, from team-building to networking opportunities.
  • Managing ad-hoc projects from inception to completion, adhering to timelines and objectives.
  • Supporting the execution of business strategies.
  • Attending meetings to take detailed minutes and follow up on action items as needed.

CANDIDATE PROFILE:

We are seeking a Team Assistant who possesses:

  • A relevant academic degree.
  • Proven experience in an executive assistant or personal assistant role.
  • Strong project management skills.
  • Excellent verbal and written communication abilities in English.
  • Advanced proficiency in Microsoft Office applications, especially Word and Outlook.
  • A solid understanding of organizational processes.
  • Exceptional time management skills, with the ability to prioritize effectively.
  • A service-oriented mindset with meticulous attention to detail.
  • The capability to work independently as well as collaboratively.
  • Discretion in handling confidential information.
  • A results-driven attitude, with self-motivation and enthusiasm.
