ROLE OVERVIEW:

In the role of Team Assistant, you will primarily support our Technology Team Leads. This newly created position offers you the chance to shape your responsibilities and make a significant impact. If you have innovative ideas, you will have the autonomy and resources to bring them to fruition.

Your key responsibilities will include:

  • Coordinating activities among technology team leads and the broader technology department, while collaborating with global counterparts.
  • Providing comprehensive calendar management for the Technology Team Leads.
  • Organizing travel arrangements, including flights and accommodations.
  • Compiling information and preparing presentations and documents for meetings.
  • Managing monthly expense reports.
  • Overseeing HR-related administrative tasks.
  • Acting as a representative for the technology team leads during their absences, ensuring they remain informed of significant developments.
  • Supervising the tasks of direct reports to ensure high-quality execution.
  • Liaising with internal and external counterparts, particularly those in the US and Asia.
  • Organizing internal and external events, from team-building activities to networking events.
  • Managing ad-hoc projects from inception to completion, ensuring timelines and objectives are met.
  • Supporting the execution of business strategies.
  • Attending meetings to take detailed minutes and action items as needed.

CANDIDATE PROFILE:

We are looking for a Team Assistant who possesses:

  • An academic degree.
  • Proven experience as an Executive Assistant or Personal Assistant.
  • Demonstrated project management skills.
  • Excellent verbal and written communication abilities in English.
  • Advanced proficiency in Microsoft Office applications, especially Word and Outlook.
  • A solid understanding of organizational processes.
  • Strong time management capabilities, with the ability to prioritize effectively and meet deadlines.
  • A service-oriented mindset with exceptional attention to detail.
  • The ability to work independently as well as collaboratively.
  • Discretion in handling confidential and sensitive information.
  • A results-driven attitude, self-motivation, flexibility, and enthusiasm.
