YOUR ROLE:

In this position, your primary responsibility will be to support our Technology Team Leads. This role is a new opportunity within Optiver, allowing you to shape it according to your strengths and ideas. You will have the autonomy and resources to implement your initiatives and make a significant impact.

As a Team Assistant, your key responsibilities will include:

  • Coordinating activities among technology team leads and the technology department across Optiver Europe, while collaborating with global counterparts.
  • Providing comprehensive diary management support to the Technology Team Leads.
  • Organizing travel logistics, including flight arrangements and accommodation bookings.
  • Compiling information and preparing presentations and documents for meetings.
  • Completing monthly expense reports.
  • Managing HR-related administrative tasks.
  • Acting as a representative for the technology team leads during their absences, ensuring they are informed of critical developments.
  • Overseeing tasks assigned to direct reports, ensuring high-quality execution.
  • Liaising with internal and external counterparts, particularly those in the US and Asia.
  • Coordinating internal and external events, from team-building activities to networking events.
  • Managing ad-hoc projects from planning through execution, ensuring adherence to timelines and objectives.
  • Supporting the delivery of business strategies.
  • Attending meetings to take detailed minutes and action items as required.

WHO YOU ARE:

We are looking for a Team Assistant who possesses:

  • An academic degree.
  • Proven experience as an Executive Assistant or Personal Assistant.
  • Demonstrated project management skills.
  • Excellent verbal and written communication abilities in English.
  • Advanced proficiency in Microsoft Office applications, particularly Word and Outlook.
  • A solid understanding of organizational processes.
  • Strong time management skills, with the ability to prioritize tasks effectively.
  • A service-oriented mindset with exceptional attention to detail.
  • The ability to work independently as well as collaboratively within a team.
  • Discretion in handling confidential and sensitive information.
  • A results-driven attitude, self-motivation, flexibility, and enthusiasm.
