The payroll division in the Netherlands manages payroll for multiple legal entities, encompassing approximately 1250 employees. This function is integral to the finance department.
Reporting Structure:
Directly reports to the Controller for West Europe (BENELUX, CH, FL).
Team Leadership:
As the Payroll Manager, you will hold ultimate responsibility for payroll operations in the Netherlands. Ensuring precise and timely payroll execution is essential for success. You will engage in payroll processing for about half of your work time, while also focusing on establishing a sustainable payroll framework. This includes the development of standard operating procedures, enhancing payroll workflows, ensuring uniformity, and cultivating a highly skilled team. You will also play a pivotal role in various projects.
Key Responsibilities:
Leadership:
- Build a robust team as a people leader, providing adequate training, guidance, and support among team members.
- The current team comprises three payroll administrators and one payroll expert, with whom you will closely collaborate.
Payroll Processing:
- Oversee and participate in the monthly payroll cycle for multiple legal entities, ensuring all validations and approvals are completed.
- Coordinate and monitor payroll activities with various external service providers.
- Serve as the primary contact for payroll-related inquiries from both internal and external stakeholders, including employees.
- Collaborate closely with the local People Services team and shared service centers located internationally.
- Ensure accurate and timely handling of international mobility cases, addressing tax and payroll requirements.
Process Enhancement:
- Drive improvements in payroll processes, including the creation and refinement of documentation.
- Ensure standardization across payroll practices and develop standard operating procedures.
- Work with stakeholders throughout the organization to implement process enhancements.
- Ensure that Service Level Agreements (SLAs), Key Performance Indicators (KPIs), and metrics are established and monitored regularly.
Project Involvement:
- Act as a key stakeholder from the payroll perspective in various projects.
- Participate in the transition from SAP to Workday for HRIS in 2024, aligning payroll with new HR data inputs.
- Engage in future projects involving the transition to a new global payroll system, ensuring local needs are effectively communicated.
Reporting and Compliance:
- Execute and monitor internal controls in accordance with SOX standards, ensuring accuracy in year-end processes and documentation.
- Manage the processing and administration of the Work Related Cost Scheme (WKR).
- Ensure timely completion of all legal and statutory filings and payments, including those related to tax authorities and pension funds.
- Monitor financial payroll outcomes and resolve any discrepancies with the finance department.
- Address inquiries from auditors and local authorities as well as internal stakeholders.
Qualifications:
- 5-10 years of relevant payroll experience within a multinational setting.
- A relevant professional qualification or bachelor's degree.
- Comprehensive knowledge of local wage tax, social security, and pension regulations.
- Proficiency in both Dutch and English.
- Strong Excel skills.
- Supervisory experience is advantageous.
- Familiarity with payroll systems such as ADP and HRIS platforms like Workday is preferred.
