Office Administrator

We are seeking a highly organized and proactive Office Manager to join our team at Page Personnel. In this role, you will be responsible for creating and maintaining a functional, inspiring, and supportive workplace for our team of approximately 20 people.
Key Responsibilities:
- Office Organization
- Create and maintain an efficient, comfortable workspace that boosts team morale and productivity.
- Oversee workspace setup, including onboarding of new employees and ensuring everyone has the tools they need.
- Manage office equipment, including printers, scanners, and phones.
- Internal Communication
- Act as the central point of contact for the team regarding office-related issues, always ready to support with a smile.
- Take minutes during important internal meetings and keep the team informed.
- Maintain structured internal documentation for easy access and clarity.
- Hospitality & Visitor Reception
- Welcome visitors warmly, ensuring they experience the energy and professionalism of our office from the moment they walk in.
- Organize catering for meetings and company events, ensuring every detail is taken care of.
- Management Support
- Organize internal events, team outings, and training sessions, promoting a positive team culture.
Facilities Management
- Ensure the office is always clean, safe, and well-maintained, reflecting the high standards of our company.
- Manage relationships with suppliers for cleaning, security, and other facility services.
- Oversee office supply levels (e.g., stationery, coffee, snacks) and ensure everything is well-stocked.
- Health & Safety
- Ensure the office complies with health and safety regulations and implement necessary safety procedures.
- Basic IT Support
- Provide basic IT support and liaise with external IT providers to ensure systems are running smoothly.
Legal & Financial Support
- Assist in drafting contracts for internal staff and managing agreements with clients and suppliers.
- Invoicing & Budget Management
- Take responsibility for incoming and outgoing invoicing, ensuring accuracy in all financial processes.
- Help manage the office and facilities budget, optimizing costs where possible.
- Approve and verify supplier invoices.
