Job Summary

We are seeking a dynamic and skilled Junior Service Administrator to join our team of experts and support the Financial Operations Section of the European Space Agency (ESA) on-site at Noordwijk, the Netherlands.

Key Responsibilities:
  • Certify and Calculate Individual Travel Claims: Verify and calculate individual travel claims against supporting vouchers and invoices.
  • Settle Business Trips: Calculate the settlement of the business trip based on the rules of the agency.
  • Enter Settlement Data: Enter the settlement data into the customer's database.
  • Filing and Document Management: File vouchers, invoices, and other supporting documentation.
  • Receiving and Checking Invoices: Receive and check invoices from travel agents and car hire agents and enter the data into the customer's database.
  • Reconcile Corporate Credit Card Execution: Reconcile corporate credit card execution and ticket discrepancies.
  • Rectify Ticket Error List and Statistical Projection: Rectify ticket error list and statistical projection.
  • Payment List Proposals Checking and Execution: Payment list proposals checking and execution.
  • Upload Invoices and Credit Notes: Upload invoices and credit notes into SAP.
  • Rectification of SAP-Posting Error Log: Rectify SAP-posting error log.
  • Creation of Statistics and Reports: Create statistics and reports as requested.
  • Ad-Hoc Tasks: Perform other ad-hoc tasks as requested by the Team Manager.
Requirements:
  • Bachelor's Degree: A Bachelor's degree in a relevant field is required.
  • Relevant Work Experience: At least 2 years of relevant work experience is required.
  • Customer-Oriented Service: Experience in providing a customer-oriented service with an eye for processing and workflow is essential.
  • Financial Accounting Knowledge: Knowledge of financial accounting and experience in Accounts Payables is required.
  • Office Automation Tools: Familiarity with modern office automation tools and techniques, particularly Microsoft Office or equivalent, as well as customized database and software applications, is necessary.
  • SAP Experience: Experience as a user of SAP and in particular ECC module and familiarity with relevant ESA corporate applications is an asset.
  • Priority Action Handling: Capacity to identify priority actions and handle high workloads is required.
  • Interpersonal and Communication Skills: Excellent interpersonal skills and a high degree of organizational and communication abilities to be client-focused are necessary.
  • Diverse Team Environment: Comfortable with working in a diverse and multinational team environment is essential.
  • Independent Work: Ability to work independently and establish good working relations with relevant actors in ESA and Industry is required.
  • Language Skills: Fluency in English, both written and spoken, is required. A good working knowledge of French is an asset.
  • EU Eligibility: Candidates must be eligible to work in the EU.
