Job Summary


We are seeking a highly skilled Senior Administrative Coordinator to join our team in Amsterdam. This role will provide administrative support to our Chief Marketing & Categories Officer and Category Presidents, ensuring high-level administrative assistance and coordination of internal and external stakeholders.



Key Responsibilities

  1. Manage executive schedules, maintain agendas, schedule appointments, and organize videoconferences/meetings;
  2. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution;
  3. Screen enquiries and requests, and handle them as appropriate;
  4. Deal with mail/email and prepare responses to correspondence containing routine inquiries, sort and distribute incoming correspondence, often corresponding on behalf of the Executive;
  5. Welcome visitors at all levels of seniority/relations (clients, suppliers, staff, etc.);
  6. Organize business trips by developing itineraries and agendas, scheduling/booking transportation, arranging accommodations and visas in line with the company guidelines and budget, and providing general assistance during the trip;
  7. Prepare expense reports, memos, and letters, carry out research and presenting findings, produce documents, briefing papers, reports, and presentations when needed;
  8. Revised and maintain office systems, including data management and filing.
  9. Support the Executive in all daily activities and procedural tasks.


Requirements

  1. 5+ years of experience in a similar role in Amsterdam/The Netherlands;
  2. Excellent communication and negotiation skills;
  3. Ability to work under pressure and prioritize among multiple tasks and a wide variety of activities;
  4. High internal and external customers' orientation, ability to deal with high-level executives;
  5. Ability to work independently and organize activities;
  6. Proactiveness, flexibility, and confidentiality;
  7. Knowledge of administrative tools and systems (SAP), excellent knowledge of Office 365;
  8. Ability to use and manage corporate sharing and collaboration tools (e.g., Teams, Sharepoint, intranet...);
  9. Digital dexterity;
  10. Accurate and self-organized;
  11. English and Dutch fluency.


Compensation


The estimated annual salary for this position is approximately €55,000 - €65,000, depending on experience and qualifications.
