Administrative Coordinator

As a key member of the Emerson team, you will serve as the first point of contact for visitors and staff, providing exceptional support in a fast-paced office environment.
Main Responsibilities:
- Manage the main switchboard for Rijswijk and Breda locations, ensuring timely updates to the calling list.
- Handle mail, packages, and administrative tasks, including hotel and taxi reservations, with a focus on efficiency and attention to detail.
- Oversee the Coffee Corner, ensuring office supplies, flowers, and other orders are met, and maintain a welcoming atmosphere.
- Coordinate guest and employee badges, as well as parking lot access, to ensure a secure and accessible environment.
- Plan and coordinate meetings, including scheduling meeting rooms, handling logistics, and assisting with internal and international meetings.
- Collaborate with I-procurement to handle pool cars and rental car orders, and assist with visa-related matters, including requests, invitation letters, and guarantee letters.
- Support the Office Manager in personnel events and other office-related tasks, promoting a positive and inclusive work environment.
- Post content on Intranet & Narrowcasting, lead office-related communications, and manage mailbox administration, ensuring effective communication across the organization.
- Work closely with various departments, including Catering, Facility, and Marketing, to coordinate tasks like meeting arrangements, security, and gift distribution.
Requirements:
- Proficient verbal and written communication skills in Dutch and English.
- Secretary degree (MBO-4 level) or equivalent level in a related field.
- Computer literacy with MS Office (Word, Outlook, and Teams).
Preferred Qualifications:
- Verbal and written communication skills proficient in French.
- Proven experience in a customer-facing job, office assistant, or equivalent position is a plus.
