As an Office Assistant, you will be responsible for providing administrative support to the Office Manager and other staff members. Your duties will include operating as a host(ess) for visitors, handling the main switchboard, and providing front office and office support duties as required.
Key Responsibilities:
- Handle the main switchboard for Rijswijk and Breda locations, including keeping the calling list updated.
- Handle mail, packages, and administrative tasks such as hotel and taxi reservations.
- Be responsible for the Coffee Corner and ensure office supplies, flowers, and other orders are led.
- Coordinate guest and employee badges (short-term entry badges, employee access badges) and run parking lot access.
- Plan and coordinate meetings, including scheduling meeting rooms, handling logistics, and assisting with internal and international meetings.
- Handle pool cars and rental car orders in collaboration with I-procurement.
- Handle visa-related matters, including requests, invitation letters, and guarantee letters.
- Collaborate with the Office Manager on personnel events and other office-related tasks.
- Post content on Intranet & Narrowcasting and lead office-related communications, including mailbox administration.
- Work closely with different departments (Catering, Facility, Marketing) on tasks like meeting arrangements, security, and gift distribution.
Requirements:
- Verbal and written communication skills proficient in Dutch and English
- Secretary degree (MBO-4 level) or equivalent level in related field
- Computer Literate with MS Office (Word, Outlook and Teams)
Preferred Qualifications:
- Verbal and written communication skills proficient in French
- Proven experience in a customer facing job, office assistant or equivalent position is a plus
